This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee all bookkeeping functions, which include chart of accounts management, expense categorization, income monitoring, bank reconciliations, journal entries, accounts payable, accounts receivable, and payroll, ensuring timely and accurate execution.

• Create and uphold internal controls, procedures, and systems for managing organizational expenses and reimbursements.

• Record and process all transactions on a full accrual basis, adhering to GAAP and the highest standards of nonprofit transparency.

• Ensure all financial information is accurately documented in accounting software and CRM systems.

• Keep precise and current financial records for easy and accessible reference.

• Support senior leadership by constructing and overseeing both the annual operating budget and specific program budgets.

• Evaluate actual performance against the budget and identify any discrepancies.

• Generate financial forecasts and projections for upcoming years.

• Investigate and apply cost-saving initiatives and strategies.

• Prepare comprehensive financial statements, including income statements, balance sheets, cash flow reports, payroll summaries, and functional expense distributions.

• Analyze financial data to uncover trends, evaluate risks, and guide decision-making processes.

• Compile regular financial reports and budgets for the Board of Directors, grant proposals, and other relevant parties.

• Process payroll for employees and independent contractors, ensuring accuracy in payments and deductions for each pay period.

• Gather, verify, and maintain all essential documentation (e.g., timesheets, W-9s, benefits enrollment).

• Calculate and remit payroll taxes (e.g., federal, state, local) along with other withholdings, ensuring timely preparation and submission of all necessary reports (e.g., 941s, 1099s, W-2s).

• Monitor and document any garnishments, paid time off, or benefits contributions; ensure adherence to all relevant regulations and internal policies.

• Collaborate with external tax accountants to guarantee the accurate and timely preparation and submission of Form 990 and other required filings.

• Act as the main point of contact with independent auditors, providing necessary documentation and PBC lists accurately and punctually.

• Manage communication between senior leadership, external accountants, auditors, and other stakeholders to ensure streamlined and efficient processes.

• Review draft Form 990s and audited financial statements, addressing any discrepancies that arise.

• Ensure compliance with all relevant laws, regulations, and accounting standards.

• Stay informed on federal, state, and local tax laws and nonprofit regulations, advising on necessary adjustments.

• Identify and mitigate potential financial and operational risks.

• Monitor for potential fraud and implement safeguards against misappropriation.

• Ensure that the organization maintains adequate insurance coverage and submits required reports.

• Accurately and consistently maintain the organization’s QuickBooks Online and financial tracking within our CRM.

• Investigate and introduce technological solutions to enhance financial efficiency and effectiveness.


⛳️ Requirements

• Bachelor’s degree in Accounting, Finance, or a related field is required.

• A Master’s degree in Business Administration (MBA) or a related field is preferred.

• Certification as a Certified Public Accountant (CPA) is preferred.

• A minimum of 10 years of experience in a senior financial position, ideally within the nonprofit sector.

• Strong comprehension of GAAP and nonprofit accounting standards.

• Experience in bookkeeping, budgeting, payroll processing, 401k administration, forecasting, nonprofit tax accounting, independent nonprofit audits, and financial analysis.

• Exceptional analytical, problem-solving, and decision-making abilities.

• Strong communication and interpersonal skills are essential.

• Ability to work independently and juggle multiple responsibilities effectively.

• Proficiency in Microsoft Office Suite and accounting software (QBO) is expected.
