Finance Operations Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Supervise comprehensive scheduling operations across roughly 150 active programs.

• Ensure effective resource distribution and scheduling efficiency for all programs.

• Proactively detect and address scheduling conflicts, gaps, and inefficiencies.

• Keep scheduling data accurate and current across various systems.

• Make autonomous staffing decisions, including substitute assignments and last-minute coverages.

• Ensure that programs are sufficiently staffed according to demand and service needs.

• Collaborate with recruitment and talent teams to fill staffing gaps and pipeline requirements.

• Monitor staff performance in relation to program needs.

• Conduct routine quality audits to guarantee that programs align with internal and client standards.

• Recognize trends, risks, and areas for enhancement, implementing corrective measures as needed.

• Promote continuous improvement initiatives to better program delivery and outcomes.

• Act as the main point of contact for the designated client portfolio.

• Manage client communications via email, phone, and virtual meetings (Zoom).

• Foster strong, trust-based relationships with clients through proactive engagement.

• Address client inquiries, provide updates, and ensure high levels of satisfaction.

• Serve as the primary responder for operational incidents and urgent matters.

• Lead issue resolution promptly, with accountability and clear communication.

• Escalate critical issues when necessary while maintaining responsibility for outcomes.

• Oversee program materials, logistics, and vendor coordination.

• Ensure the timely delivery and quality of materials necessary for program execution.

• Collaborate cross-functionally with internal teams and external partners.

• Identify opportunities for program renewal, upselling, and expansion.

• Provide insights and recommendations to leadership based on operational data and client feedback.

• Contribute to process enhancements, documentation, and scalability initiatives.


⛳️ Requirements

• Over 5 years of experience in Account Management, Operations Management, or Customer Success, ideally in a US-facing context.

• Proven experience managing a portfolio of accounts, clients, or programs independently.

• Strong decision-making abilities with the capacity to function with minimal supervision.

• Excellent written and verbal communication skills in English (CEFR C1+ or equivalent).

• Demonstrated capacity to manage multiple priorities in a fast-paced, high-volume setting.

• Full-time availability aligned with US business hours.

• Ability to provide professional references from US-based stakeholders or clients.

• Experience in education, after-school programs, enrichment, or youth services.

• Familiarity with tools such as Notion, Slack, Google Workspace, and scheduling platforms.

• Strong organizational, analytical, and problem-solving skills.

• Experience working in remote or distributed teams.
