This is a fully remote position, open to applicants in Poland.
• Managing budgeting for personal expenses and the income/expenses related to privately used assets.
• Processing payments at the request of Family Office (FO) staff and UBO through credit cards, personal and corporate bank accounts, crypto wallets, and other means.
• Conducting precise monthly accounting of personal expenses within the ERP system.
• Delivering monthly reports comparing planned versus actual personal expenses and financial performance of privately used assets by the 15th of the subsequent month, while providing insights on any discrepancies upon UBO/CFO request.
• Exercising limited oversight over the nature of expenses initiated by FO staff.
• Engaging with contractors regarding agreements, payment for services rendered, necessary documentation, and reconciling receivables and payables.
• Validating advance reports from Family Office staff involved with privately used assets and allocating expenses accordingly.
• Communicating with Family Office staff about the financial performance of privately used assets.
• Overseeing privately used payment methods (personal accounts, credit cards, assigned phones, crypto wallets, etc.), ensuring adequate limits for expected expenditures and maintaining custody tracking.
• Monitoring the legitimacy of notarized powers of attorney, bank cards, safe deposit boxes, organizing renewals, verification in banks, and other similar documentation tasks.
• Assisting the corporate treasury function during peak workloads or absences, which may involve 1-2 business trips annually.
• Enhancing the processes related to personal expenses and the expenditure of privately used assets, accounting, and reporting (including ERP and disbursement aspects) to ensure the target workload does not exceed 0.5 FTE (full-time equivalent).
• Performing other management directives.
• Proficient in Excel / Google Sheets at an advanced level (including pivot tables, complex formulas, data validation/controls, reporting, and structured tables).
• Experience in end-to-end banking payment operations: handling multi-currency payments, understanding fees, statuses, limits, payment orders, and maintaining control and traceability.
• Skilled in reconciliation processes, including bank statement reconciliations, A/P and A/R controls, and closing documents.
• Strong understanding of accounting principles: expense classification, allocation, and month-end discipline.
• Familiarity with ERP/finance systems; a confident user or quick learner capable of posting and categorizing expenses.
• Experienced with crypto wallets: knowledgeable in networks, fees, confirmations, and security best practices.
• Ability to produce concise management reports and clear explanations for the CFO/UBO that are insight-driven.
• Fluent in English (both spoken and written) with high-quality writing skills.
• Significant background in travel support and business assistance.
