Finance Associate

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Ensure the accuracy of general ledger entries.

• Reconcile transactions for bank accounts, credit cards, and trust accounts on a monthly basis.

• Actively identify, address, and thoroughly document any discrepancies, trends, or irregularities, and report them to the CFO.

• Oversee and maintain precise bank feeds.

• Diligently track daily cash activity and assist in creating rolling cash flow forecasts.

• Support short-term liquidity planning and analysis by providing insights and potential solutions.

• Manage vendor invoices, keep accurate accounts payable records, and reconcile statements.

• Ensure that payments are made promptly in line with internal controls.

• Aid in payroll processing, which includes validating hours and correctly applying U.S. payroll tax regulations and deadlines (knowledge of U.S. payroll tax compliance is crucial).

• Organize financial documents and supporting materials for monthly close processes.

• Assist in generating internal financial reports, summaries, and executive dashboards while recommending enhancements for clarity and usefulness.

• Ensure adherence to internal controls and reporting standards.

• Help track financial performance, including analyzing budget vs. actual performance, identifying variances, determining root causes, and pinpointing areas for improvement while ensuring alignment with business objectives.

• Analyze KPI trends and generate actionable insights, suggesting optimizations for leadership.

• Maintain and enhance internal dashboards (and associated data sources) to visualize the firm's performance.

• Assist in creating, updating, and analyzing quarterly and annual budgets.

• Support scenario planning and margin analysis initiatives.

• Develop and sustain financial models in Excel.

• Review drafts of tax returns against internal financial records to ensure consistency.

• Help manage schedules and documentation for estimated tax payments.

• Collaborate actively with operations, administrative, and legal teams on finance-related workflows.

• Suggest enhancements to systems for tracking, reconciliations, and reporting by critically evaluating existing processes and understanding their rationale.

• Provide financial data and insights for ad-hoc strategic projects with clear and concise communication.

• Utilize approved AI and automation tools to enhance efficiency, minimize manual work, and improve reporting accuracy, while proactively identifying improvement opportunities and ensuring secure, compliant usage in accordance with firm policies and data standards.


⛳️ Requirements

• Bachelor's degree in Finance, Accounting, or a related field (or equivalent practical experience).

• Over 5 years of progressive responsibility in bookkeeping, financial reporting, payroll support, and accounts payable, or demonstrable excellence in these areas with fewer years through strong analytical/problem-solving abilities.

• Experience in compliance-heavy or professional services environments; a background in legal, accounting, or finance firms is strongly preferred.

• Knowledge of U.S. payroll tax compliance and systems.

• Must have a solid work history demonstrating consistency and reliability in previous roles, with a clear sense of ownership over responsibilities and outcomes.

• Proficient in QuickBooks Online.

• Strong expertise in budgeting, financial analysis, and KPI tracking, with a proven ability to convert data into actionable recommendations.

• Familiarity with tax reporting, validation of tax returns, and reconciliation practices.

• Highly proactive, detail-oriented, and solutions-focused mindset with excellent organizational, analytical, and problem-solving skills, including a curiosity to understand processes and challenge inefficiencies.

• Strong written and verbal communication skills with the ability to effectively present financial insights and collaborate across functions.

• Ability to work independently while proactively seeking input and alignment when needed, and manage multiple tasks in a fast-paced environment.

• Strong Excel skills (formulas, pivot tables, basic financial modeling, etc.), and comfort using AI-integrated features within Excel, Office 365, or other cloud accounting systems.

• Demonstrated capability in responsibly utilizing AI tools such as ChatGPT, Microsoft Copilot, or other generative AI platforms to support financial analysis, report generation, or workflow automation.

• Proficient in Microsoft Office 365 Suite (Outlook, Teams, SharePoint, PowerPoint) and project management tools like Asana, Microsoft Planner, etc.
