This is a fully remote position, open to applicants in Philippines.
• Process invoice requests and generate invoices using QuickBooks and relevant client platforms, such as Ariba and Payapps.
• Establish and maintain recurring invoices.
• Track retentions, including due dates, retention balances, and the claiming of retentions when they are due.
• Issue client statements and perform initial accounts receivable follow-ups to ensure collections adhere to agreed payment terms.
• Escalate matters related to debt collection and sensitive client communications.
• Assist with the onboarding of client vendors by completing and submitting vendor application forms for new clients.
• Prepare debtor reports and summaries of overdue accounts.
• Process approved employee expense claims from the expense platform into QuickBooks.
• Verify that expense claims are approved, complete, and accompanied by appropriate documentation.
• Follow up on missing information or discrepancies with relevant employees or managers.
• Aid in the reconciliation of company credit card transactions by cardholder.
• Enter credit card transactions into the company's expense platform.
• Reconcile credit card transactions in QuickBooks.
• Follow up with cardholders regarding missing receipts, coding, approvals, or supporting documentation.
• Provide support during month-end processing.
• Assist in the preparation and posting of accruals and prepayments.
• Generate financial reports as needed.
• Help with reconciliation tasks and finance reporting requirements.
• Ensure that month-end tasks are completed accurately and within the required deadlines.
• Support process improvements in accounts receivable, expense claims, and finance administration.
• Assist with ISO audit requirements by ensuring records and procedures are complete and accurate.
• Identify and escalate errors, missing approvals, overdue items, or process gaps to Head Office Finance.
• Experience in accounts receivable, finance administration, bookkeeping, or a similar position.
• Proficiency in QuickBooks or comparable accounting software.
• Experience in the construction or AV industry is advantageous.
• Strong understanding of invoice processing, expense claims, reconciliations, and month-end support.
• Capability to work remotely with finance and operations teams based in Australia.
• Ability to manage recurring tasks and meet deadlines effectively.
• Excellent attention to detail and accuracy.
• Strong written communication and follow-up skills.
• Competence in Microsoft Excel, Outlook, and finance administration systems.
