Finance and Accounting Manager

This is a fully remote position, open to applicants in Portugal.

📋 Description

• Monitor customer invoices, follow up on collections (including Retainer/DSP ad spend), reconcile accounts, and address Merlink disputes.

• Update ChargeOver with new payments (wires/ACH), conduct daily audits, manually recharge clients, and oversee daily monitoring of Stripe and Mercury accounts.

• Verify and process payroll, manage contractor payments, and handle sales and affiliate commissions.

• Reconcile bank accounts/ledgers, investigate discrepancies in transactions, and maintain the percentage sheet and Expenses Audit sheet.

• Maintain accounting systems (QuickBooks, Oracle, ChargeOver), refresh ClickUp onboarding/offboarding boards, and update the Master working sheet.

• Utilize **ClickUp** for managing onboarding/offboarding boards.

• Engage in specific daily oversight of **Stripe** and **Mercury**.

• Oversee data management and manual recharges in **ChargeOver**.

• Respond to client Slack/email inquiries, participate in onboarding catch-up meetings, and manage new subscriptions and quotes.

• Develop cash flow projections, perform Budget vs. Actual (BVA) analysis, provide daily DSP ad spend updates, and generate CSV reports/financial dashboards.

• Implement internal controls, resolve backlogs, create sustainable processes, and submit BM–Creative requests.

• Construct and maintain ongoing cash flow projections to ensure operational stability and support investment decisions.

• Conduct monthly variance analysis to identify trends, overages, and cost optimization opportunities.

• Analyze service-based margins and client profitability to deliver actionable insights to leadership.

• Convert raw accounting data into clear financial dashboards that emphasize KPIs and growth opportunities.

• Identify opportunities to leverage tools like Zapier or Hubspot to enhance financial data entry and reporting efficiency.

• Collaborate directly with the CEO and operations team to offer financial insights on hiring, pricing, and long-term objectives.

⛳️ Requirements

• Minimum of 3 years of experience in finance, financial analysis, or financial management.

• Experience in a B2B agency, professional services, or service-based business is highly preferred.

• Strong analytical skills with proven problem-solving, critical thinking, and pattern recognition abilities.

• Proficiency in financial reporting, controls, and high-level financial oversight.

• Ability to work independently and take full responsibility for workstreams.

• Confident communicator capable of conveying financial insights to non-financial stakeholders.

• Leadership-oriented mindset with the desire to grow into greater responsibilities.

• Preferred (Not Required):

• Familiarity with QuickBooks or similar accounting platforms.

• Advanced Excel and financial modeling skills.

• Experience in scaling businesses or high-growth environments.

• History of direct collaboration with founders or senior leadership.
