This is a fully remote position, open to applicants in Canada.
• Identify and prioritize events. **Conduct research, assess, and recommend tradeshows, conferences, and industry events that align with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a rolling 12-month event calendar.
• Negotiate and finalize contracts. **Manage relationships with event organizers, vendors, and venues. Negotiate sponsorships, booth space, speaking opportunities, and additional services to maximize every dollar spent.
• Plan and execute comprehensively. **Oversee all details, including booth design and shipping, promotional items, collateral, lead capture, badge scanners, audiovisual needs, catering, hotel accommodations, and travel arrangements for the team.
• Serve as the on-site contact. **Attend all events in person. Set up and dismantle booths, troubleshoot issues in real-time, and ensure our presence is polished from beginning to end.
• Prepare the team. **Brief attending team members on objectives, key messages, target accounts, and logistics. Ensure everyone is informed about their roles, timelines, and expectations.
• Collaborate with sales to drive pipeline. **Work with sales to schedule pre-show meetings, host dinners and customer events on-site, and guarantee that every lead is captured, qualified, and promptly followed up on.
• Execute pre- and post-event marketing campaigns. **Collaborate with marketing on email outreach, landing pages, paid promotions, and social media efforts to enhance booth traffic and meeting bookings ahead of the event.
• Manage the budget. **Oversee event expenditures across the entire calendar. Monitor costs, provide accurate forecasts, identify risks early, and make judicious trade-off decisions when priorities change.
• Establish KPIs and report outcomes. **Define specific KPIs for each event (leads, meetings, pipeline, ROI) and create clear post-event reports that analyze what succeeded, what didn't, and how to enhance future events.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or tech sectors.
• Proven experience in organizing events from start to finish, even on a smaller scale. You can provide examples of events you managed and their outcomes.
• Experience in managing an events budget. You understand how to forecast, monitor expenses, and make trade-offs to maximize ROI.
• Proficient in defining KPIs and creating reports that link event activities to pipeline and revenue.
• **Genuinely interested in AI and leveraging it for efficient workflows. **You can demonstrate specific projects, tools, or processes where you have utilized AI to enhance your work as an events marketer (e.g., research, vendor outreach, post-event reporting, content creation, lead enrichment). This is essential.
• Basic familiarity with HubSpot on the CRM side; we will handle the rest.
• Strong project management skills. You excel at keeping track of timelines, budgets, vendors, and numerous moving parts without oversight.
• Skilled in negotiating with vendors and event organizers to secure optimal terms.
• Excellent communication skills, both written and verbal. You can effectively engage a team, brief executives, and converse with prospects on the event floor with ease.
• Composed under pressure. You can effectively problem-solve on the spot when issues arise at events.
• Willing to travel 30 to 50% during peak event seasons across North America, with potential for travel to Europe as we expand.
