FF&E Procurement Manager

This is a fully remote position, open to applicants in Brazil.

📋 Description

• This role will collaborate closely with Interior Designers and the Senior FF&E Procurement Manager to oversee FF&E budgets, project procurement, supply chain logistics, and project installations.

• Foster relationships with leading suppliers and manufacturers, driving cost-effective procurement strategies that align with the specific needs of our UTOPIA LIVING operations.

• Generally responsible for the ordering, administration, and procurement of FF&E, OS&E, design, and supplies within the team. You will ensure that orders are placed on schedule, within budget, and in the most efficient manner, keeping the Finance Department informed of all necessary compliance.

• **Your responsibilities will include:**

• - Collaborating with the Senior FF&E Procurement Manager, Architects, and Senior FF&E/Interior Designers to determine project timelines, budgets, and deadlines.

• - Assisting the FF&E/Interior Designer in sourcing all necessary information to finalize the detailed specification document.

• - Working with the design team to create the initial procurement schedule based on a review of layouts, renderings, and project specifications.

• - Compiling the procurement budget and coordinating documentation to ensure compliance with document standards.

• - Organizing the purchasing schedule and coordinating with the Senior Procurement and Project Managers to achieve all project milestones.

• - Collaborating closely with the Finance team to raise Funding Requests, generate purchase orders, and process proforma invoices promptly.

• - Receiving, approving, and forwarding invoices for payment, while tracking them on the procurement schedule.

• - Communicating with suppliers worldwide to obtain quotes and negotiate terms of service.

• - Adhering to established budgets and timelines, ensuring that items meet required specifications and can be delivered punctually.

• - Coordinating with internal teams and contractors to manage FF&E logistics and installations.

• - Conducting quality control.

• - Maintaining up-to-date supplier contacts.

• - Conducting reviews of existing suppliers and visiting new suppliers to compile a list of approved vendors for project consideration.

• - Keeping accurate procurement and budget records and gathering information for a weekly procurement review.

⛳️ Requirements

• - Bachelor’s Degree in Interior Design, Architecture, Supply Chain, or Logistics; a Master's degree in any of these fields is preferred.

• - A Project Management degree (Master’s or equivalent) is a plus.

• - A minimum of 3 years of experience in a procurement agency or design studio in a similar capacity is required.

• - Advanced fluency in English and Portuguese is mandatory.

• - Experience with global projects and suppliers, particularly in markets across Europe, Brazil, the Dominican Republic, and Latin America, is advantageous.

• - Proven experience in establishing and implementing new processes.

• - Familiarity with preparing O&M Manuals for Hospitality projects is essential.
