This is a fully remote position, open to applicants in Switzerland.
• Deliver secretarial support to the Legal Affairs Department (SAJ).
• Provide administrative assistance to the members of the Legal Affairs Department while managing the administrative follow-up of files, including their physical and electronic filing, from receipt through to archiving, along with indexing.
• Manage specific aspects of legal files independently under the guidance of legal advisors.
• Oversee the department’s organizational tasks (telephone reception, meeting coordination, calendar management, internal administrative processes, etc.).
• Compose letters and documents with legal relevance (emails, letters, minutes, briefs, lists of exhibits, etc.).
• Develop and update various documents such as drafts, tables, schedules, and PowerPoint presentations tailored to the department’s requirements.
• Commercial apprenticeship diploma (CFC) or an equivalent qualification; certification in legal secretariat is advantageous; complete executive secretary training.
• A minimum of 5 years of professional experience as an executive secretary within a court, public prosecutor’s office, legal department, or law firm.
• Familiarity with the Geneva healthcare network and/or the Geneva judicial system is a plus.
• Energetic, personable, and adaptable — these traits are crucial for this position.
• Ability to work autonomously, strong attention to detail, and excellent drafting and organizational skills.
• Proven proficiency in computer skills and a solid command of standard office software, particularly Word, Excel, Outlook, and PowerPoint.
