This is a fully remote position, open to applicants in United States.
• Oversee the VP’s calendar by effectively prioritizing schedules and meetings
• Collaborate with the communications team to coordinate the VP’s event speaking engagements
• Organize and plan meetings, which includes setting agendas, selecting locations, managing meeting technology, and coordinating logistics
• Create meeting briefing documents, distribute notes, and develop post-meeting action item lists
• Assemble travel packs for international journeys and significant domestic events
• Serve as a proxy for communications and approvals as permitted
• Address general inquiries, redirect routine matters, and ensure follow-up on tasks
• Resolve issues within established policies and guidelines while mentoring administrative team members in effective problem-solving
• Assess when executive intervention is necessary and provide actionable recommendations
• Arrange global travel and optimize itineraries
• Manage Cisco expenses and facilitate airline upgrades when available
• Offer analytical support for special executive projects
• Conduct research on issues, analyze challenges, compile data, and prepare reports
• Prepare and brief itineraries, accompanying the VP at major corporate events like GSX
• Manage sensitive and confidential matters and materials
• Provide support to one VP, with the potential to assist an additional Director
• At least 4 years of experience in an administrative role
• Minimum of 2 years of experience supporting a principal at the director level or higher
• Proven experience in providing support at the VP level
• Proficient in Windows desktop applications: Outlook, Word, Excel, and PowerPoint
• Skilled in calendar management, meeting planning, and travel coordination
• Exceptional verbal and written communication abilities
• Capability to connect with executives, senior staff at all levels, and clients
• Strong interpersonal skills and the ability to exercise independent judgment
• Highest level of integrity and the skill to balance strategic and tactical actions
• Excellent attention to detail
• Proficiency in handling confidential information
• Collaborative, improvement-focused, problem-solving mindset with decision-making skills
• Previous experience in the high-tech industry is desirable
• Prior experience with Cisco is preferred
• An associate degree is preferred
