This is a fully remote position, open to applicants in United States.
• Oversee and prioritize the calendar of the VP, including schedules, meetings, attendees, and delegations.
• Collaborate with the communications team to coordinate the VP’s speaking engagements.
• Organize and plan meetings, managing agendas, locations, meeting technology, logistics, briefing documents, notes, and action items.
• Create travel packs for international trips and significant domestic events.
• Serve as an authorized proxy for communications and approvals.
• Address general inquiries, direct routine matters, follow up on tasks, and resolve issues in accordance with policy.
• Mentor fellow administrative community members on effective problem-solving strategies.
• Assess when executive action is necessary and provide informed recommendations.
• Arrange global travel and optimize itineraries for scheduled meetings and Cisco expenses.
• Collaborate with airlines to secure Global Services benefit upgrades when available.
• Offer analytical support for executive special projects by investigating issues, analyzing challenges, compiling data, and preparing reports.
• Prepare and brief itineraries, accompanying the VP at significant corporate events such as GSX.
• Manage sensitive and confidential matters and materials.
• Support one VP, with the potential to add assistance for additional directors.
• 4+ years of experience in an administrative setting.
• At least 2 years of experience supporting a principal at the director level or higher.
• Proficient in Windows desktop applications: Outlook, Word, Excel, and PowerPoint.
• Experience in calendar management, meeting organization, and travel coordination.
• Exceptional verbal and written communication skills.
• Ability to engage with executive/senior staff and clients effectively.
• Strong interpersonal skills accompanied by independent judgment.
• Highest level of integrity with the ability to balance strategic and tactical actions.
• Remarkable attention to detail.
• Capability to manage confidential information appropriately.
• Proactive in taking initiative, problem-solving, and decision-making.
• Experience in the high-tech industry is preferred.
• Prior experience with Cisco is highly desirable.
