• Take charge of managing the CFO’s calendar across various Google accounts, ensuring effective prioritization, scheduling, and time management.
• Handle and sort inbox communications, drafting replies and managing correspondence on behalf of the CFO.
• Organize meetings from start to finish: including agendas, materials, briefing documents, and ensuring that follow-ups and action items are completed.
• Supervise vendor and contract management for over 20 active vendors, including tracking deliverables and performance metrics.
• Manage renewal schedules, proactively highlighting upcoming deadlines and negotiating timelines as necessary.
• Assist with exit readiness initiatives, including the coordination of documentation and preparation of M&A data rooms.
• Collaborate with legal teams on contracts, compliance issues, and documentation workflows.
• Arrange and manage intricate travel plans, including multi-leg and international trips.
• Address personal and property-related coordination tasks with a high degree of discretion and reliability.
• Develop and enhance internal systems using tools such as Google Workspace, Slack, Notion, and DocuSign.
• Utilize AI tools (e.g., Claude, ChatGPT) to optimize workflows, automate tasks, and enhance efficiency.
• A minimum of 5 years of experience supporting C-level executives (preferably CFO, COO, or General Counsel).
• Demonstrated experience in a dynamic **e-commerce or DTC environment**.
• Strong background in managing complex calendars, inboxes, and executive communications.
• Practical experience in vendor management, contract administration, and tracking renewals.
• Familiarity with legal coordination, compliance processes, or M&A support (data rooms, due diligence, etc.).
• Advanced skills in Google Workspace, Slack, Notion, and DocuSign.
• Proficient spreadsheet abilities (data tracking, organization, and reporting).
• Knowledge of EOS/Traction frameworks is a significant advantage.
• An AI-native mindset with proven use of tools like Claude or ChatGPT in everyday workflows.
• Outstanding written and verbal communication skills in English.
• Highly organized, detail-oriented, and capable of handling multiple priorities at once.
• Strong judgment with the ability to operate with confidentiality and discretion.
• Proactive, resourceful, and able to work independently with minimal oversight.
