This is a fully remote position, open to applicants in New York.
• Oversee and arrange emails, messages, and Microsoft Teams communications, developing prioritized task lists for the executive.
• Collect context and details prior to escalating issues to Linda, effectively filtering urgency and significance.
• Follow up with staff and clients on behalf of the executive to minimize interruptions and enhance workflow efficiency.
• Participate in key client meetings, take notes/transcripts, document action items, and communicate relevant updates to programmers and staff.
• Condense only essential information and updates that Linda genuinely needs to be informed about.
• Monitor client requests, project developments, equipment/orders, pending resolutions, and necessary follow-ups.
• Keep track of Jira ticket updates and collaborate with staff via Microsoft Teams to provide internal client updates.
• Raise concerns and issues only when absolutely necessary.
• Offer executive assistance support, including reminders, calendar management, prioritization, and identifying which meetings require executive focus.
• Assist in safeguarding the executive’s time through critical thinking, organization, and proactive decision-making.
• A minimum of 5 years of relevant experience.
• Exceptional organizational and multitasking abilities in a dynamic environment.
• Outstanding written and verbal communication skills.
• Strong customer service orientation with experience in managing staff and client interactions.
• Demonstrated capability to work independently and apply critical thinking.
• Sound judgment with an ability to prioritize urgency and significance.
• Proactive, self-directed, and exceptionally organized.
• Experience in attending meetings, documenting notes, and tracking follow-ups/action items.
• High proficiency in English (reading, writing, and speaking with a neutral accent).
• Ability to establish boundaries and help safeguard executive bandwidth.
• Experience in fast-paced work settings.
