• Oversee intricate executive calendars, coordinating meetings with investors, high-level executives, and external parties.
• Compose, review, and dispatch professional business communications, showcasing exceptional written and verbal English proficiency.
• Arrange both domestic and international travel plans, encompassing itineraries, lodging, and logistical details.
• Prepare and manage expense reports, reimbursements, and administrative financial records.
• Supervise office supply inventory, liaise with vendors, and handle various administrative support functions.
• Organize, maintain, and enhance SharePoint files, folders, and documentation systems.
• Develop professional presentations and slideshows utilizing company templates.
• Create meeting agendas, notes, follow-ups, and relevant supporting materials.
• Assist with document preparation, reporting, and follow-ups for executives.
• Provide ad hoc administrative and operational assistance as required.
• Manage confidential projects and sensitive information with a high degree of discretion and meticulous attention to detail.
• Prior experience in supporting executives within finance, investment banking, private equity, venture capital, or similar sectors is highly preferred.
• Demonstrated professionalism and executive presence when interacting with investors and senior leadership.
• Exceptional organizational, multitasking, and time management capabilities.
• Advanced skills in Microsoft Office Suite, particularly Outlook, PowerPoint, Excel, and SharePoint.
• Capacity to prioritize and juggle multiple responsibilities in a dynamic environment.
• Strong attention to detail, commitment to follow-through, and effective problem-solving skills.
• Basic understanding of accounting or experience with expense reconciliation is advantageous.
