
Executive Assistant – Finance, Property Management Support

This is a fully remote position, open to applicants in Philippines.
• Oversee intricate calendars, scheduling, and travel logistics for the Managing Director and the leadership team.
• Create meeting documentation, reports, and executive briefing materials.
• Compose, review, and manage professional correspondence, including emails and internal communications.
• Collaborate with accountants, advisors, and external stakeholders to ensure alignment and timely communication.
• Accurately and efficiently process expense claims and conduct credit card reconciliations.
• Provide daily executive and administrative support, ensuring effective management of priorities.
• Execute ad-hoc administrative duties, including data entry and document preparation.
• Develop, maintain, and enhance recurring financial reports and KPI dashboards.
• Assist with month-end reporting processes and the preparation of board reporting materials.
• Keep revenue and expense tracking templates updated for accuracy and consistency.
• Support CRM management (e.g., HubSpot), ensuring data integrity and process efficiency.
• Identify opportunities to automate and optimize financial reporting workflows.
• Ensure financial data is organized, accessible, and in line with business reporting requirements.
• Establish structured systems and processes to facilitate scalability and operational efficiency.
• Regularly review workflows to detect inefficiencies and propose improvements.
• Work collaboratively with internal teams to standardize reporting and administrative processes.
• Aid in cross-functional coordination among finance, operations, and leadership.
• Complete additional tasks and projects as assigned by leadership.
• Uphold confidentiality and professionalism when managing sensitive financial and executive information.
• Remain proactive in recognizing opportunities to enhance systems, reporting, and support processes.
• Contribute to a collaborative and high-performing remote team environment.
• Extensive experience as an Executive Assistant, with exposure to finance or accounting support.
• Advanced Excel capabilities with the proficiency to create reports, dashboards, and tracking tools.
• Highly organized, detail-oriented, and process-driven, possessing strong problem-solving skills.
• Familiarity with tools such as HubSpot, Monday.com, or similar CRM/project management platforms is preferred.
• Exceptional written and verbal communication abilities.
• Capacity to work independently, manage multiple priorities, and meet deadlines in a remote setting.
