This is a fully remote position, open to applicants in Canada.
• Serve as a reliable partner and extension of the CFO and VP of Finance, providing proactive, high-level support that enables them to concentrate on Mozilla's key financial and strategic objectives.
• Manage intricate, fast-paced calendars for both leaders: prioritize and arrange meetings, resolve scheduling conflicts, safeguard focus time, and align scheduling with Finance deliverables, Board cycles, and enterprise priorities.
• Oversee the operational cadence of the CFO's office: organize and facilitate Finance and leadership meetings, prepare agendas and materials, document decisions and action items, and ensure follow-through.
• Develop and refine executive-level presentations, reports, briefing materials, and correspondence for leadership meetings, business reviews, and interactions with external stakeholders.
• Arrange domestic and international travel and handle expense reports.
• Act as a primary point of contact between executives, their teams, and both internal and external partners, ensuring timely and professional communication and follow-up.
• Assist with preparations for the Audit Committee, Investment Committee, and Board, including logistics, materials, and minutes as required.
• Organize logistics for team offsite meetings, work weeks, and events.
• Collaborate with other administrative colleagues on team communications, recognition initiatives, onboarding, and cross-team requirements.
• Manage highly confidential information — financial, transactional, and personnel — with the utmost discretion.
• 7-10 years of executive administrative experience supporting one or more senior executives in a technology company or multi-location setting (calendar management, travel coordination, expense handling, meeting support).
• Demonstrated discretion and sound judgment when dealing with highly confidential and sensitive information, along with comfort in working closely with senior executives and Board members.
• Strong coordination and process management skills, with a tendency to anticipate needs and provide options and recommendations rather than waiting for direction.
• A self-starter who excels in a fast-paced environment, adept at managing ambiguity and competing demands, while following through with accuracy and attention to detail.
• Exceptional written and verbal communication skills.
• Proficient in Google Workspace.
• Familiarity with finance terminology or prior experience supporting a Finance or executive team is an advantage.
