This is a fully remote position, open to applicants in Arizona, +4 more states.
• Provide primary administrative support to the President and CEO, as well as other members of the Executive Team when necessary.
• Execute comprehensive clerical, administrative, and general office tasks that are sensitive and confidential in nature.
• Regularly access highly confidential information and files.
• Engage in communication with contacts across all levels within the organization, industry, and community.
• Possess an understanding of the roles for which support is provided, along with the operations and procedures of the department and organization.
• Take responsibility for completing intricate administrative projects and resolving complex support issues.
• Carry out confidential executive administrative functions.
• Answer phone calls directed to the President and CEO and the Executive team as required.
• Receive and screen telephone calls, letters, and visitors, addressing inquiries and providing information by directing individuals or concerns to the appropriate parties.
• Schedule appointments and coordinate arrangements for meetings, conferences, and travel.
• Manage any technological needs associated with these meetings.
• Prepare letters and memoranda for review, including editing grammar, punctuation, and spelling.
• Ensure internal consistency and adherence to Ascensus standards.
• Compile regular reports, gathering and summarizing data.
• Generate a variety of correspondence, reports, and presentations using the relevant software for word processing, graphics, and spreadsheets.
• Organize and expedite the workflow, initiating any necessary follow-up actions.
• Manage all travel arrangements and prepare expense reports.
• Organize and maintain files of correspondence and records, following up on pending matters.
• Responsible for protecting, securing, and appropriately handling all confidential data held by Ascensus to prevent unauthorized access, improper transmission, and/or unapproved disclosure of information that could harm Ascensus or its clients.
• Assist with additional tasks and projects as assigned.
• A minimum of ten years of experience in providing executive-level administrative support.
• Strong verbal communication skills to effectively handle a wide variety of complex administrative duties with minimal oversight.
• Experience working with confidential and sensitive information.
• Ability to analyze complex administrative details, establish filing systems, and compile reports incorporating data from multiple sources.
• Respond effectively to inquiries or requests from important callers.
• Comprehensive knowledge of office technologies, including all Microsoft software applications.
• Requires a high degree of independent judgment and discretion.
• Capability to meet multiple and concurrent deadlines.
• Excellent analytical skills complemented by strong written and verbal communication abilities.
• Self-motivated and innovative.
• Highly organized and articulate.
• Communicate instructions or desires to various individuals and/or departments, and obtain information from others.
• Work necessitates an in-depth understanding of overall company operations, policies, and procedures.
