This is a fully remote position, open to applicants in California, +4 more states.
• Oversee, prioritize, and manage the calendar, which includes complex scheduling, planning, arranging travel, and preparing expense reports.
• Foster and maintain positive relationships with staff, internal departments, and external stakeholders, including high-level contacts of a sensitive nature.
• Collaborate with other Executive Assistants to coordinate among executives and handle trade-offs and prioritization.
• Organize, plan, and schedule team events, meetings, and multi-day offsite gatherings, including logistics, on-site amenities, and activities.
• Regularly maintain email aliases, distribution lists, and shared directories.
• Coordinate with Accounts Payable to ensure timely payment of bills.
• Act as the primary contact for departmental purchases on behalf of your executive.
• Provide support for staff meetings by preparing agendas, taking notes as necessary, and occasionally distributing meeting minutes and presentations.
• Manage various ad-hoc projects.
• 4-6+ years of experience providing administrative support to senior-level executives.
• Previous experience in a fast-paced environment requiring strong multitasking abilities and effective time management.
• Willingness to adapt to a swiftly changing environment along with new processes and responsibilities.
• Demonstrated capability to work under pressure, communicate effectively, and meet deadlines.
• Proficient in Microsoft Office Suite, Mac, and Windows operating systems, as well as related business applications such as Slack, Microsoft Teams, and Microsoft SharePoint.
• Excellent oral and written communication skills in English.
• A team player focused on results, possessing strong interpersonal skills.
