• Deliver high-level administrative and operational assistance to senior leaders in the commercial sector.
• Tasked with enhancing executive productivity through effective calendar management, travel arrangements, meeting preparation, expense oversight, project coordination, and support for sales initiatives.
• Act as a strategic administrative ally for Sales Leadership, empowering executives to work efficiently and effectively.
• Oversee business activities for designated executives, including complex calendar management, prioritizing meetings, and coordinating across various time zones.
• Organize detailed travel plans, meeting logistics, and communications for meetings, conferences, and client events.
• Collaborate with internal teams to arrange meetings and events.
• Provide on-site support for commercial events, conferences, and leadership gatherings as required.
• Prepare executive materials such as presentations, Salesforce reports, and event summaries.
• Monitor deliverables and action items from leadership meetings.
• Manage professional communications on behalf of executives.
• Process and finalize expense reports.
• Coordinate and assist with special projects for the commercial leadership team.
• Facilitate communication between internal departments and external partners, ensuring professionalism and strong relationships.
• Handle confidential business information with discretion and professionalism.
• Provide backup support to other administrative team members as necessary.
• Carry out additional tasks as required.
• Over 5 years of experience in executive administrative support, preferably aiding leaders in Sales, Business Development, or Commercial Operations.
• Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Familiarity with Concur for travel and expense reporting.
• Proven capability to manage multiple executive calendars and priorities in a remote, fast-paced environment.
• Exceptional organizational skills with a keen attention to detail and the ability to juggle competing priorities.
• Excellent verbal and written communication skills, capable of drafting professional correspondence for executives.
• Strong interpersonal skills with the ability to cultivate collaborative relationships with executives, internal stakeholders, brokers, and external partners.
• Proven ability to maintain confidentiality and exercise sound judgment.
• High initiative, adaptability, and proactive problem-solving skills.
• Capacity to anticipate leadership needs, think ahead, and independently manage tasks with minimal supervision.
• Experience in project coordination with the ability to track deadlines and ensure deliverables are met.
• Professional demeanor with a service-oriented approach and strong executive support skills.
• Bachelor’s degree is preferred.
• Experience with Salesforce or other CRM platforms is preferred.
