This is a fully remote position, open to applicants in Egypt.
• Oversee and prioritize the executive's calendar; arrange meetings across different time zones and resolve scheduling conflicts.
• Manage email and other inboxes — triage, flag, respond on behalf of the executive, and ensure follow-ups are maintained.
• Organize travel arrangements, itineraries, and accommodations; prepare agendas and briefing documents in advance of meetings.
• Serve as a dependable point of contact by communicating with internal team members, clients, and partners.
• Create documents, presentations, spreadsheets, and reports; take minutes during meetings and track action items accordingly.
• Organize and manage files and records in cloud storage for easy accessibility.
• Attend to personal and administrative tasks as required, handling sensitive information with the utmost discretion.
• Accurately record daily financial transactions in accounting software (e.g., QuickBooks, Xero, or Wave).
• Generate and send client invoices; monitor receivables and follow up on any overdue payments.
• Process bills and expenses; categorize transactions and maintain organized digital receipts.
• Regularly reconcile bank, credit card, and payment-platform accounts.
• Compile monthly financial reports — including profit & loss, cash flow, and expense summaries — for the owner.
• Assist with payroll and contractor payments, ensuring records are ready for the accountant during tax season.
• Prior experience with U.S.-based companies is essential — you are familiar with U.S. business norms, communication styles, and expectations.
• Availability to work Monday–Thursday evenings in Riyadh (5:00–9:00 PM AST) to align with U.S. Eastern business hours.
• Demonstrated experience as an executive/administrative assistant as well as in a bookkeeping or accounts position.
• Strong working knowledge of bookkeeping principles and accounting software (such as QuickBooks, Xero, or similar tools).
• Proficient with productivity and collaboration tools — including Google Workspace or Microsoft 365, calendar and email management, and cloud storage.
• Exceptional written and verbal communication skills in English.
• Excellent organizational abilities and keen attention to detail; capable of managing multiple priorities and meeting deadlines.
• Discreet and self-driven — able to operate independently in a remote setting with minimal oversight.
• A reliable home-office setup: dependable internet, a computer, and a quiet workspace.
• Familiarity with a prestigious, beauty, or wellness brand environment is a plus.
• Experience supporting a small business, agency, or founder in a similar dual role is advantageous.
• A bookkeeping certification or relevant coursework is also beneficial.
