• Oversee daily bookkeeping responsibilities for various trusts and business entities.
• Ensure precise financial records are maintained utilizing Xero, QuickBooks, or comparable accounting software.
• Handle accounts payable and receivable, perform transaction reconciliations, and assist in financial reporting.
• Provide support to the business owner with executive administration and operational coordination.
• Manage calendars, scheduling, inbox management, follow-ups, and internal coordination tasks.
• Communicate professionally with suppliers, external partners, and team members.
• Assist in managing invoices, tracking payments, and general accounting administration.
• Coordinate documentation, records, and reporting across various entities.
• Aid in enhancing administrative systems, organization, and operational workflows.
• Support international payment processes and multi-currency transactions as needed.
• Uphold confidentiality and professionalism when dealing with sensitive business and financial data.
• Actively identify inefficiencies, bottlenecks, or areas that need improvement.
• Prior experience in both Executive Assistant and bookkeeping support positions.
• Strong practical experience with Xero is highly preferred.
• Knowledge of QuickBooks or similar accounting platforms.
• Experience with Australian businesses and adherence to Australian bookkeeping standards.
• Experience managing multiple entities, trusts, or complex business structures is highly desirable.
• Strong organizational and time management abilities.
• Excellent written and verbal communication skills in English.
• Professional and confident communication style, including phone and video interactions.
• Ability to work independently and prioritize tasks effectively.
• High attention to detail and robust problem-solving capabilities.
• Trustworthy, reliable, and highly discreet when handling confidential information.
• Long-term perspective and genuine interest in career growth within the role.
• Experience directly supporting founders, executives, or leadership teams (desirable).
• Exposure to eCommerce businesses or international transactions (desirable).
• Familiarity with PayPal, foreign exchange payments, or multi-currency reconciliations (desirable).
• Understanding of basic financial reporting and cash flow management (desirable).
• Experience in improving internal administrative or bookkeeping systems (desirable).
