This is a fully remote position, open to applicants in South Africa.
• Handle incoming phone calls by directing them appropriately while delivering outstanding customer service.
• Organize and manage customer appointments and project meetings.
• Keep CRM records up-to-date, ensuring that customer and project information is correct.
• Execute data entry tasks and oversee administrative documentation.
• Prepare and submit permit applications along with necessary paperwork to county offices for new projects and jobs.
• Oversee and manage Google Calendars, including scheduling, reminders, and tracking appointments.
• Provide general office operations support and administrative assistance to promote efficient workflow.
• Demonstrated professional phone etiquette and effective communication skills with customers.
• Proven experience in coordinating calendars and managing appointments.
• Quick and precise data entry abilities with a keen attention to detail.
• Familiarity with CRM systems such as Salesforce, HubSpot, JobNimbus, ServiceTitan, Zoho, or similar platforms.
• Proficient in using Google Calendar and other scheduling tools.
• Relevant experience working with contractors, construction firms, roofing companies, or local municipal permit offices.
• Practical knowledge of Housecall Pro, HubSpot, Slack, and the Google Workspace suite.
• Understanding of document preparation, filing processes, and the general procedures for submitting paperwork to county or city offices.
