This is a fully remote position, open to applicants in New York.
• Oversee intricate calendars, arrange domestic and international travel, prepare meetings, manage correspondence, track expenses, and ensure follow-up.
• Organize board meetings, coordinate investor schedules, prepare presentation materials, maintain governance documentation, and facilitate executive communications.
• Offer light assistance for vendors, company events, conference room bookings, and daily administrative tasks.
• Monitor strategic initiatives, manage cross-functional projects, document processes, and enhance operational efficiency.
• Handle contracts, DocuSign workflows, confidential files, and various administrative documentation.
• Create and maintain a detailed transition guide that outlines recurring responsibilities, executive preferences, board schedules, key contacts, vendors, software systems, approval workflows, and other essential institutional knowledge to ensure continuity.
• Assist in managing executive relationships by strategically identifying individuals executives should connect with during travels and arranging catch-up meetings.
• Safeguard executive time by ensuring leaders are thoroughly prepared for meetings with key discussion topics, relevant materials, and decision-ready inquiries.
• Research and coordinate optimal accommodations, dining, and meeting venues to facilitate seamless and effective travel experiences.
• A minimum of 5 years in executive support roles, including experience supporting C-suite executives (or a combination of at least 3 years as an Executive Assistant and 2 years supporting C-suite leaders).
• Prior experience in a startup or rapidly growing environment is essential; experience with public companies is an advantage.
• A highly adaptable mindset with a "no task too big or too small" attitude, capable of managing any situation, including supporting executives during travel and events.
• Demonstrated ability to take initiative, solve problems independently, assemble the right team members, and drive projects to completion.
• Exceptional reliability, judgment, discretion, and professionalism are required.
• Highly organized with meticulous attention to detail, comfortable establishing structure, accountability, and follow-through.
• Excellent written and verbal communication skills with a warm, polished, and professional demeanor that fosters trust and strong relationships.
• Strong skills in organization, project management, and problem-solving.
• Proficiency in Google Workspace, Slack, DocuSign, Adobe Acrobat, Ramp, Asana, and AI productivity tools.
• A candidate who has mastered the fundamentals of executive support, possesses a proven track record of success, and is eager to learn, take ownership, and make a significant impact.
