• Provide comprehensive administrative and project management support to the Vice President of Customer Experience & Operations Enablement, with potential minimal assistance to the team.
• Responsibilities encompass the creation and preparation of agendas, presentations, documents, spreadsheets, logs/databases, schedules, tracking action items, managing calendars, arranging travel, planning and executing meetings, and handling expense reports.
• Organize and schedule meetings and teleconferences, prioritize tasks and appointments, and ensure meetings, deadlines, presentations, and logistics are managed efficiently.
• Maintain calendars promptly and logically; proactively coordinate work to prevent conflicts.
• Keep leadership informed about the status of significant projects, post-meeting action item reports, assignments, and overall operations.
• Develop basic spreadsheets, update organizational charts, and create PowerPoint presentations for visual distribution.
• Assist with organizational responsibilities, including headcount reports, org charts, and interdepartmental communications.
• Serve as a vital member of the leadership team by providing project support and initiating communications.
• Facilitate the planning and execution of off-site meetings, including communications, space selection, logistics, travel, hospitality, and technology.
• Utilize technology and best practices to enhance the effectiveness of the leadership team.
• Coordinate business travel in alignment with travel preferences and corporate travel/expense guidelines using Cigna’s booking tool, ensuring 100% accuracy of travel itineraries and reservations.
• Submit expense reports for all travel and expenses accurately and promptly.
• May attend meetings and take notes when requested.
• High school diploma or GED is required.
• A Bachelor's degree is preferred.
• Minimum of 5 years of prior Executive Assistant experience directly supporting executive-level leadership is required.
• Strong project management skills.
• Advanced-level proficiency with the complete MS Office Suite, demonstrating the ability to produce executive-level documents in PowerPoint, Excel, and Word.
• Ability to not only manage current tasks but also possess the critical foresight to anticipate future needs and take proactive action.
• Must exercise sound judgment, problem-solving skills, and uphold the highest standards of confidentiality and integrity.
• Comfortable working in a fast-paced environment.
• Exceptional communication (oral and written), organizational, and interpersonal skills, with the ability to engage positively with all levels within the organization.
• Self-motivated with the ability to work independently, maintain focus, and execute tasks with minimal supervision.
• Skills in meeting and event planning.
• Preferred experience in spreadsheet tracking and analysis.
• Ability to multitask, meet deadlines, and prioritize work effectively.
• Competence in navigating within a matrixed organization with a high degree of professionalism.
