This is a fully remote position, open to applicants in Colombia.
• Deliver comprehensive, high-level administrative support to the Senior Vice President of Equipment Services and the Senior Vice President of Strategic Markets.
• Serve as the main point of contact for both internal and external stakeholders on behalf of the executive leaders.
• Oversee and synchronize complex calendars, meetings, and appointments across multiple executive schedules, ensuring alignment and prioritization of commitments.
• Arrange domestic and international travel logistics for executive leadership, including itineraries, accommodations, and transportation.
• Prepare, review, and disseminate executive-level reports, presentations, and business documentation for both executives.
• Organize meetings by creating agendas, taking detailed minutes, tracking action items, and ensuring timely follow-up on executive initiatives.
• Compose and distribute professional correspondence, emails, memos, and other communications on behalf of executive leadership.
• Maintain precise, organized, and confidential records, files, and documentation pertaining to executive activities.
• Submit, track, and reconcile executive expense reports in compliance with company policies.
• Collaborate with other executive assistants, senior administrative personnel, and cross-functional teams to ensure alignment and timely execution of executive requests.
• Assist with special projects, strategic initiatives, and cross-functional efforts as instructed by executive leadership.
• Anticipate the needs of executives, proactively identify potential issues, and resolve administrative or scheduling challenges across both leadership roles.
• Maintain the highest level of confidentiality and discretion when managing sensitive and confidential information.
• Exceptional professionalism, discretion, organization, and adaptability.
• Capability to deliver high-level administrative and operational support to senior leadership.
• Proficient in calendar management and scheduling coordination.
• Experience in arranging domestic and international travel logistics.
• Competence in preparing, reviewing, and disseminating reports, presentations, and business documentation.
• Strong skills in meeting coordination, including agenda creation, minute-taking, action item tracking, and follow-ups.
• Outstanding written and verbal communication abilities.
• Proficient in drafting professional correspondence, emails, memos, and other forms of communication.
• Excellent organizational skills with the capability to maintain accurate and confidential records and documentation.
• Experience in managing and reconciling expense reports.
• Ability to effectively collaborate with executives, administrative staff, cross-functional teams, and external stakeholders.
• Capacity to support special projects and strategic initiatives.
• Proactive problem-solving abilities with the skill to anticipate executive needs and resolve scheduling or administrative challenges.
• Capability to handle sensitive and confidential information with utmost discretion.
• Over 3 years of experience in roles such as Executive Assistant, Senior Administrative Assistant, or similar executive support positions.
• Experience in supporting senior executives (VP, SVP, C-level, or equivalent leadership).
• Competitive Salary: Ranges from COP $5,000,000 to COP $6,000,000, depending on experience.
• Job Stability: Indefinite-term contract (*Contrato a término indefinido*) with all mandatory Colombian legal benefits included.
• 100% Remote: Open to candidates residing in other cities throughout Colombia.
• Hybrid Model: Available for candidates located in Medellín.
