This is a fully remote position, open to applicants in Washington.
• Oversee intricate executive calendars spanning various time zones, including the prioritization of meetings, managing scheduling conflicts, and adapting to shifting business priorities.
• Organize internal and external meetings, leadership reviews, team events, and additional business activities.
• Coordinate both domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense management.
• Prepare and organize meeting agendas, presentations, materials, and follow-up tasks.
• Assist with the daily operational needs of assigned executive leaders to ensure a smooth workflow and execution.
• Monitor action items, deadlines, and key deliverables to maintain alignment and accountability among stakeholders.
• Keep organized records, documentation, and filing systems as required.
• Manage confidential and sensitive information with utmost discretion and professionalism.
• Act as a liaison between executive leaders and internal or external stakeholders.
• Draft, proofread, and edit correspondence, presentations, reports, and other business communications.
• Foster strong working relationships across teams and departments to facilitate collaboration and effective execution.
• Utilize sound judgment in prioritizing requests, addressing scheduling conflicts, and escalating issues when necessary.
• Assist in the planning and coordination of executive meetings, offsites, and cross-functional events.
• Utilize productivity and AI-enhanced tools to enhance organization, efficiency, communication, and administrative workflows.
• A minimum of 4 years of experience supporting senior leaders or executives in a dynamic, complex business setting.
• Strong organizational, prioritization, and time management abilities with exceptional attention to detail.
• Proven capability to handle sensitive and confidential information with professionalism and discretion.
• Excellent written and verbal communication skills.
• Demonstrated ability to work independently, adapt quickly, and manage multiple priorities at once.
• Experience in coordinating complex calendars, travel arrangements, meetings, and executive communications.
• Proficiency in collaboration and productivity tools such as Google Workspace, Microsoft Office Suite, Slack, and related business applications.
• Familiarity with AI tools (such as ChatGPT, Copilot, Claude, etc.) to enhance and expedite outcomes, including but not limited to communication drafting, data analysis, prompt engineering, and documentation.
