This is a fully remote position, open to applicants in Philippines.
• Email Management: Effectively prioritize and oversee the executive's email communications, ensuring swift responses and suitable follow-ups.
• Phone Calls: Manage both incoming and outgoing calls as required.
• Calendar Management: Organize and maintain complex calendars, schedule appointments, and coordinate meetings with both internal and external parties. (Calendly integration is utilized)
• Bookkeeping: Offer light bookkeeping assistance, including expense tracking, invoice processing, and the organization of financial documents.
• Marketing Support: Leverage Canva to create professional, visually appealing presentations, marketing materials, and other collateral as necessary. This may encompass graphics like thank-you notes, birthday cards, and more.
• Social Media: Manage a social media calendar to ensure all posts are published on the appropriate platforms.
• Travel Coordination: Plan and arrange travel logistics, accommodations, and itineraries for business trips.
• Document Preparation: Draft and refine correspondence, reports, and other documents on behalf of the executive team.
• Meeting Coordination: Develop meeting agendas, participate in meetings as needed, and compile meeting minutes. Ensure effective communication and collaboration within the team.
• Project Management: Support the management of special projects, ensuring timely and accurate completion.
• Demonstrated experience as an Executive Assistant, supporting senior executives in the mortgage or financial sectors.
• Outstanding organizational and multitasking skills.
• Proficient across all social media platforms.
• Strong attention to detail coupled with a proactive problem-solving approach.
• Capability to manage multiple tasks in a dynamic environment.
• Excellent written and verbal communication abilities.
• Expertise in Microsoft Office Suite and other relevant software applications.
• Familiarity with Shape CRM is advantageous.
• Proficiency in Canva for creating marketing flyers is a plus.
