This is a fully remote position, open to applicants in Florida, +2 more states.
• Develop and oversee a comprehensive, multi-layered calendar that integrates both professional and personal commitments.
• Manage all aspects of domestic travel from planning to execution, including accommodations, itineraries, and local contacts.
• Draft and supervise executive communication, carefully adjusting the tone for various audiences such as board members, partners, regulators, and internal teams.
• Coordinate the recurring logistics associated with board travel and meetings on a monthly basis.
• Create a prioritized list of key contacts and organize significant interactions such as lunches and dinners with essential stakeholders.
• Serve as a reliable point of coordination for stakeholders both within and outside the organization.
• Assist with bookkeeping tasks, including processing expense reimbursements and managing selected private holdings.
• Monitor action items, deadlines, and follow-ups in collaboration with the Chief of Staff.
• Maintain a high level of discretion in all matters, whether they pertain to work or personal affairs.
• Provide support for personal and household coordination as needed.
• Bachelor’s degree or equivalent experience.
• Exceptional skills in calendar management and travel coordination suited for a fast-paced, multi-priority environment.
• Advanced proficiency in Microsoft Office applications.
• At least 3 years of experience in complex administrative roles, including direct support for C-suite executives or senior management.
• A proactive and independent work style with an ability to anticipate needs and execute tasks without constant supervision.
• Excellent written and verbal communication skills, with the versatility to adjust tone for different audiences such as board members, executives, regulators, and external parties.
• Strong personal judgment combined with a professional demeanor.
