This is a fully remote position, open to applicants in United States.
• Oversee, manage, and execute a diverse range of administrative responsibilities for the Head of TPA Operations, which includes handling an active calendar of appointments, preparing expense reports, and drafting correspondence. Additionally, provide support to 4-5 other leaders within the TPA as required, reporting directly to the Head of TPA Operations.
• Communicate directly, and on behalf of the Head of TPA Operations, with internal stakeholders, external clients, Executive Leadership, advisors, and partners, among others. Prepare, refine, and manage executive-level communications, such as briefing notes, talking points, and presentations.
• Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Identify the appropriate course of action, referral, or response.
• Collaborate closely and effectively with stakeholders to keep them informed of upcoming commitments and responsibilities, ensuring appropriate follow-ups.
• Manage conflicting priorities; address matters efficiently, proactively, and see projects through to successful completion, often under deadline pressure.
• Assist in the creation of presentations in PowerPoint and Excel formats by transcribing, formatting, entering, editing, retrieving, copying, and transmitting text, data, and graphics.
• Manage the leader’s intricate inbox and calendar, ensuring optimal time allocation for strategic priorities, meetings, and engagements. Monitor and prioritize emails, correspondence, and action items for the leader.
• Oversee travel arrangements, logistics, and expense management to enhance efficiency.
• Maintain organized records of key discussions, action items, and follow-ups to ensure continuity in decision-making.
• A minimum of 10 years of experience supporting VP or SVP Level Executives and senior leaders.
• Exceptional organizational skills that demonstrate the ability to perform and prioritize multiple tasks seamlessly, with a strong attention to detail.
• Advanced written and verbal communication skills.
• Strong interpersonal abilities and the capacity to build relationships with stakeholders, including staff, board members, and external partners.
• Proven capability to handle confidential information with discretion, adapt to various competing demands, and provide the highest level of service and response.
• Demonstrated proactive problem-solving skills with a strong decision-making capability.
• Highly resourceful team player, capable of performing effectively both collaboratively and independently.
• Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, Oracle, ERP systems, and Concur.
