This is a fully remote position, open to applicants in Pakistan.
• Oversee the logistics for conferences, trade shows, VIP dinners, webinars, and user events, which includes managing venues, hotels, catering, travel, shipping, and on-site materials.
• Take ownership of the event calendar and project timelines, developing run-of-show schedules, task lists, and deadlines to ensure all workstreams remain on schedule.
• Handle attendee workflows encompassing invitations, registrations, RSVPs, and guest lists, ensuring all data is accurate and up-to-date.
• Collaborate with vendors, venues, and partners across different time zones, obtaining quotes, monitoring deliverables, and confirming all details.
• Organize booth materials, signage, giveaways, and shipping to ensure nothing is overlooked on the day of the event.
• Assist in event marketing by crafting and scheduling email invitations, aiding in the creation of registration and landing pages, promoting on social media platforms, and managing follow-up activities post-event.
• Monitor budgets, process invoices, and reconcile expenses related to events.
• Collect and report on event metrics such as attendance and leads, ensuring leads are entered into our CRM system.
• Provide timely remote support before and during live events, proactively addressing needs before they escalate into issues.
• A minimum of 2 years' experience in event coordination, marketing coordination, project coordination, or a similar role.
• Exceptional organizational skills and a keen eye for detail, with a demonstrated ability to manage multiple events and deadlines concurrently.
• Strong written and verbal communication skills in English.
• High proficiency in Microsoft Office, particularly in PowerPoint, Excel, and Word.
• Experience with AI tools like Claude, along with the initiative to integrate them into daily operations.
• Capability to work during Eastern Time (EST) business hours while residing in Pakistan, ensuring alignment with a North American team.
• Experience in supporting trade shows, conferences, or large-scale events is advantageous.
• Familiarity with CRM and marketing tools such as Outreach and webinar platforms is a bonus.
