This is a fully remote position, open to applicants in California.
• Manage end-to-end production for designated event workstreams, overseeing everything from sourcing to on-site execution and post-event reconciliation, in accordance with approved creative and operational briefs.
• Create and sustain comprehensive production schedules, workback plans, and milestone trackers; proactively identify risks and handle schedule adjustments across multiple simultaneous projects.
• Supervise physical event environments, which include staging, scenic design, décor, temporary structures, furnishings, fencing, flooring, floral arrangements, signage, and outdoor activities.
• Organize load-in and load-out logistics, setup and dismantling, and on-site production flow, ensuring safety, accessibility, and compliance with regulations.
• Aggregate and place orders for both front-of-house and back-of-house technical requirements, including AV, electrical, IT, lighting, plumbing, and rigging.
• Source and assess vendors for furnishings, scenic builds, custom fabrication, technical services, logistics, and signage; present options and recommendations for approval before engagement.
• Oversee daily vendor communications, change orders, and deliverables.
• Evaluate vendor performance against approved scope, timeline, and quality standards; escalate issues without delay.
• Develop and sustain intricate production schedules, coordinating with multiple vendors, internal teams, and site requirements concurrently.
• Manage logistics including shipping, deliveries, and on-site movement strategies.
• Anticipate conflicts and constraints early; present contingency options to the manager for guidance, then implement approved plans.
• Keep all operational details updated in shared project management tools and documentation.
• Manage assigned production budgets within approved limits; track committed spending, process invoices, and promptly identify variances.
• Identify cost-saving opportunities and any expenditures requiring approval for authorization.
• Deliver accurate financial summaries and updates during production check-ins.
• Act as a dependable point of contact for assigned workstreams, ensuring clear and timely communication with vendors, partners, and internal teams.
• Contribute to weekly production meetings with regular progress updates and proactive identification of issues.
• Maintain thorough project archives, including layouts, vendor information, schedules, and production notes.
• Engage in post-event reviews and contribute to process enhancement.
• Adhere to TED branding, identity, and operational guidelines at all times.
• Degree or diploma in Event Management, Hospitality, Production, or a related field — or equivalent professional experience.
• 4–5 years of practical event production experience with a proven track record of increasing responsibility.
• Strong working knowledge of live event production elements: scenic design, furnishings, temporary structures, technical services, and logistics.
• Demonstrated ability to manage intricate, multi-vendor schedules across concurrent projects in dynamic environments.
• Solution-oriented mindset: capable of identifying problems early and presenting options to your manager, rather than simply escalating issues.
• Strong contract negotiation and vendor management skills.
• Exceptional written and verbal communication skills; able to communicate effectively up, across, and externally with clarity.
• Comfortable operating within defined parameters and approval processes while maintaining strong operational momentum.
• Proficient in Google Workspace, Airtable, and project management software; familiarity with floor-planning tools (CAD or similar) is a plus.
• Understanding of sustainable event practices and accessible event planning principles.
• Keeps abreast of event industry trends, emerging formats, and production technologies.
• Must have authorization to work in Canada or the United States.
