This is a fully remote position, open to applicants in Illinois.
• Assist project managers with coordination, documentation oversight, and daily administrative tasks.
• Prepare and manage project-related claims, eligibility requests, and necessary permit documentation.
• Evaluate pre-bill packages and support the accounts payable review and approval processes.
• Submit invoices via client portals such as ENFOS, SNOW, Project Forum, and email systems.
• Maintain project documentation, trackers, spreadsheets, and essential reporting tools.
• Update project management systems and aid in ongoing project coordination.
• Collaborate with project managers, accounting teams, and clients.
• A high school diploma or GED is mandatory; an associate's or bachelor's degree is preferred.
• A minimum of 2 years of experience in project coordination, project administration, accounting support, invoicing, or a related administrative position.
• Strong organizational and time management abilities, with the capability to juggle multiple priorities and deadlines.
• Familiarity with invoicing processes, client portals, financial documentation, or project tracking systems.
• Proficiency in Microsoft Office, especially Excel, Outlook, and Word.
• Outstanding written and verbal communication skills with a focus on client relations.
• Keen attention to detail and a dedication to producing accurate, high-quality work.
• Ability to work autonomously in a remote setting while collaborating with cross-functional teams.
• Experience in supporting engineering, environmental consulting, construction, infrastructure, or project-driven businesses is advantageous.
