This is a fully remote position, open to applicants in United States.
• Oversees the daily operations of Donor Information Associates and serves as the department lead in the absence of other leadership members.
• Actively promotes staff success by conducting individual meetings, offering data-driven feedback, identifying growth opportunities, and providing ongoing coaching.
• Implements process improvements within the department to enhance efficiency and work quality.
• Manages the prompt review and release of donor medical charts, monitors overall chart cycle times, and assesses departmental workload.
• Creates, oversees, and delivers training for new hires, along with ongoing training for the entire department.
• Addresses problems and resolves issues as they arise while maintaining a high level of customer service.
• Reviews donor charts and electronically records donor dispositions for production release, rejection, or responses to Medical Directors’ requests for additional information.
• Acts as a liaison with both internal and external customers to provide requested donor-related information and resolve issues.
• Assists department leadership in ensuring adherence to all relevant regulations, standards, company policies, and departmental procedures.
• Monitors rejection and request patterns from Medical Directors and provides feedback to Donor Services.
• Serves as a subject matter expert to develop and maintain Standard Operating Procedures (SOPs), Work Instructions, and other documentation related to the Donor Information process.
• Engages in additional quality functions such as complaint investigations, Corrective Action / Preventative Actions (CAPAs), and internal or external audits.
• Supports the quality and business objectives and initiatives of the company and department.
• Coordinates staff scheduling to ensure adequate coverage for the department.
• Provides information to develop and monitor quality and business metrics as needed.
• Associate Degree.
• Over 3 years of experience in medical records or a related field.
• Prior experience in organ, tissue, or eye donation/processing is required.
• At least 1 year of leadership experience.
• Minimum of 1 year of chart review experience with an Organ Procurement Organization (OPO), processor, or organ/tissue governing entity.
• Certification as a Certified Tissue Banking Specialist (CTBS).
• Exceptional verbal and written communication skills.
• Proficiency in Microsoft Office Suite.
• Experience in Donor Screening Team Development.
• Knowledge of Lean Six Sigma methodologies.
• Willingness to travel up to 25%.
• Bonus eligibility: Up to $8,000.00 annually.
