Documentation Specialist

This is a fully remote position, open to applicants in Florida.

📋 Description

• Oversee new referrals throughout the day to ensure precision and that Starts of Care (SOC) are processed according to the specified order.

• Examine referrals received from the previous night’s processing to verify that all information is accurate regarding the attending and/or signing MD and facility.

• Review the EOD Report daily for your branch(es) and the Care Coordinator (CC) team to confirm that all referral documents are completed and received, and that assignments are accurate. This includes the CC assignment, Ordering MD or Facility, and Signing MD.

• Travel with CCs to referral partner offices to cultivate relationships with them, understand each account’s referral patterns, and ascertain their preferred delivery methods.

• Update and manage delivery methods as necessary.

• Regularly travel in the field to referral partner offices to secure signatures for current or pending orders.

• Collaborate with referral partners to obtain outstanding paperwork when a CC is no longer affiliated with the agency or branch.

• Monitor to ensure that the physician information is accurate on the profile page, conducting research and making corrections as needed.

• Submit Smartsheet requests for changes to CC’s assigned referral sources (MDs, facilities/hospitals, etc.) or any other information that requires updates.

• Document daily activities related to obtaining current or outstanding orders by date, action, and follow-up date.

• Follow up on the previous week’s activities.

• Assist with the escalation of orders by coordinating with the home office, referral partner, and CC.

• Participate in meetings to discuss and provide updates on outstanding F2F, hand carry, orders, escalations, and communicate strategies for obtaining missing documents.

• Print and prepare orders for each CC and devise a plan for obtaining signatures weekly.

• Be available to send outstanding orders/F2F/hand carry orders to the CC if they are at a referral source office and will obtain signatures during that visit.

• Generate F2F and orders reports on a weekly basis and collaborate with CC to ensure orders are completed within 14 days or as appropriate based on the patient’s case.

• Review potential write-off accounts with RDS to devise a plan for resolution or submission for write-off.

• Communicate professionally with all departments to resolve outstanding orders.

• Respond promptly to all inquiries, providing resolutions to concerns or discrepancies in a timely manner.

• Adhere to HIPAA regulations concerning all accounts.

• A high school diploma or equivalent is required.

• Prior experience with an EMR system is necessary.

• Strong communication, organizational, and time management abilities.

• Proficient typing and computer skills (MS Office), with the capability to multitask across various software systems while maintaining data integrity.
