This is a fully remote position, open to applicants in Dominican Republic.
• Communicate with physicians and medical facilities—mainly via phone—to gather precise cause-of-death information and necessary signatures, demonstrating professionalism and persistence.
• Examine, verify, and record medical information in compliance with state regulations, maintaining meticulous documentation throughout the process.
• Promptly and accurately enter and update case data in each state’s death certificate filing system, adhering to our data entry standards and standard operating procedures—correct fields, correct formats, and without shortcuts.
• Complete data entry within specified turnaround times, ensuring that case records are consistently up-to-date and the team is not relying on outdated or incomplete information.
• Handle multiple cases concurrently—proactively identifying delays, collaborating with the Filing Specialist, and ensuring that deadlines are met.
• Keep families informed with clear and compassionate communication—translating complex requirements into easily understandable language during challenging times.
• Utilize HubSpot, Aircall, Slack, and our internal case management system to remain organized and maintain team alignment.
• Possess a minimum of 2 years of experience in office administration, healthcare administration, or a similar role that involves follow-up and detailed documentation.
• Exhibit strong written and verbal communication skills in English.
• Demonstrate excellent typing abilities.
• Show a proven track record of accuracy in data entry—capable of adhering to established procedures and formatting rules consistently, as well as identifying and correcting errors before they lead to downstream issues.
• Feel comfortable making regular follow-up calls and navigating busy medical offices while upholding a courteous, professional, and solution-focused demeanor.
• Ability to manage multiple cases at various stages, adhere to strict filing deadlines, and maintain accurate records.
• Proficient in explaining requirements clearly, listening with empathy, and documenting information accurately.
• Quick to adapt and utilize modern tools such as Slack and Aircall to remain connected and organized.
