This is a fully remote position, open to applicants in Mexico.
• Receive documents from internal or external teams, verify their integrity, and log them into the system with appropriate metadata (e.g., project number, date, author, version).
• Assign categories and tags according to predefined taxonomies.
• Store documents in centralized repositories.
• Ensure that only the most recent version is available to users, archiving previous versions with traceability.
• Configure access levels based on roles.
• Manage access requests and permission audits.
• Send documents to stakeholders following predefined workflows.
• Serve as a liaison between technical teams, legal teams, clients, and suppliers to address documentation inquiries.
• Participate in project meetings to identify documentation needs and critical deadlines.
• Ensure that documents comply with internal (e.g., corporate templates) and external regulations.
• Review repositories to identify obsolete, duplicate, or misclassified documents.
• Generate compliance reports for management or external audits.
• Implement document retention policies.
• Manage documents related to bids, contracts, technical plans, or operating manuals.
• Create dashboards or weekly/monthly reports on the status of documentation.
• Address urgent requests (e.g., retrieval of previous versions, correction of metadata errors).
• Experience in project-based documentation management roles.
• Proficiency in Microsoft Office 365: Word, Excel, PowerPoint, SharePoint, Teams, OneDrive, Planner.
• Experience with version control systems.
• Project Management (PM) skills.
• Knowledge of international standards: ISO 15489 (Document Management), ISO 9001 (Quality).
• Ability to design and implement metadata structures for efficient document classification and retrieval.
• Process automation experience using tools like Power Automate (Microsoft).
