This is a fully remote position, open to applicants in Brazil, +1 more state.
• Assist in enhancing internal workflows and administrative projects.
• Produce billing and operational reports upon request.
• Oversee accounts receivable and follow up on pending balances.
• Process client payments while ensuring accurate billing records are maintained.
• Draft attorney invoices for review and dispatch.
• Engage professionally with clients, courts, opposing counsel, and third-party vendors.
• Schedule attorney calendars, consultations, hearings, mediations, and client meetings.
• Keep precise electronic client files and case documentation within case management systems.
• Prepare and organize submissions through the Florida e-Filing Portal.
• Uphold strict confidentiality regarding all client, legal, and financial data.
• Manage retainer replenishment requests and communicate trust payments.
• Track attorney time entries and assist with monthly billing audits.
• Support new client onboarding and the preparation of engagement agreements.
• Draft, proofread, and format pleadings, motions, discovery documents, correspondence, notices, and other legal paperwork.
• Availability Monday through Friday, 8:30 AM to 5:30 PM EST.
• Minimum of 2 years of experience as a Legal Assistant or Legal Secretary.
• Experience in Family Law is strongly preferred.
• Familiarity with legal billing and accounts receivable is preferred.
• Experience providing support to attorneys and legal teams in a remote setting is preferred.
• Proficient in PracticePanther, Lawmatics, LawPay, NetDocuments, Microsoft Office Suite, Microsoft Teams, Adobe Acrobat, and Outlook.
• Strong verbal and written communication abilities.
• Capability to manage confidential legal and financial data.
• Excellent organizational and time management skills.
• Aptitude for handling multiple tasks while ensuring accuracy.
• Comfortable working autonomously with minimal supervision.
• Skills in legal document preparation and formatting.
• Proficiency in legal proofreading and quality assurance.
• Support for Family Law cases.
• Management of electronic filing systems.
• Coordination of calendars and schedules.
• Strong client communication and customer service skills.
