This is a fully remote position, open to applicants in Texas.

📋 Description

• Identify and prioritize events. Conduct research, assess, and suggest tradeshows, conferences, and industry events that are aligned with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a rolling 12-month event calendar.

• Negotiate and formalize contracts. Manage relationships with event organizers, vendors, and venues. Negotiate sponsorships, booth space, speaking opportunities, and additional services to maximize our budget.

• Plan and execute from start to finish. Take ownership of every aspect, including booth design and shipping, promotional materials, collateral, lead capture, badge scanners, audiovisual needs, catering, hotel arrangements, and travel logistics for the team.

• Serve as the on-site liaison. Attend every event in person. Set up and dismantle booths, resolve issues in real time, and ensure our presence appears polished from beginning to end.

• Prepare the team. Brief attending team members on goals, messages, target accounts, and logistics. Ensure everyone is aware of their responsibilities, timings, and locations.

• Collaborate with sales to drive pipeline. Work alongside sales to schedule pre-show meetings, coordinate dinners and customer events on-site, and ensure all leads are captured, qualified, and promptly followed up on.

• Manage pre- and post-event campaigns. Collaborate with marketing on email outreach, landing pages, paid promotions, and social media to boost booth traffic and meeting bookings prior to the event.

• Oversee the budget. Manage event expenditures throughout the calendar year. Monitor costs, forecast accurately, highlight risks early, and make informed trade-off decisions when priorities change.

• Establish KPIs and analyze results. Define clear KPIs for each event (leads, meetings, pipeline, ROI) and create concise post-event reports that evaluate what worked, what didn’t, and how to enhance future events.


⛳️ Requirements

• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or technology sectors.

• Proven history of managing events from conception to completion, even at smaller scales. You can reference events you organized and their outcomes.

• Experience in managing an events budget. You are skilled in forecasting, tracking expenditures, and making trade-offs to optimize ROI.

• Proficient in defining KPIs and generating reports that link event activities to pipeline and revenue.

• A genuine interest in AI and utilizing it to enhance productivity. You can provide examples of specific projects, tools, or workflows where you have leveraged AI to streamline or improve your work as an events marketer (research, vendor communication, post-event reporting, content creation, lead enrichment, etc.). This is essential.

• Basic familiarity with HubSpot on the CRM side; we will handle the rest.

• Strong project management capabilities. You can effectively manage timelines, budgets, vendors, and numerous moving parts without oversight issues.

• Comfortable negotiating with vendors and event organizers to secure the best terms.

• Exceptional communicator, both in writing and verbally. You can engage a team, brief executives, and converse with prospects on the show floor with ease.

• Composed under pressure. You can address problems that arise at events swiftly and effectively.

• Willing and able to travel 30 to 50% during busy event seasons across North America, with potential travel to Europe as we expand.
