This is a fully remote position, open to applicants in United States.
• Input and refresh data in federal systems, solutions, and tools that support Head Start grants, including HSES and SmartFlow/Smartsheet.
• Assist with routine data processes such as data entry, storage, validation, and analysis.
• Keep accurate and up-to-date contact information, grant application cycles, funding and enrollment updates, reporting deadlines, and report receipt statuses.
• Organize and maintain project file folders that contain completed work products, artifacts, and deliverables.
• Offer basic reporting support and address ad hoc data inquiries.
• Aid in standardized document entry and formatting, correspondence, and mail merge tasks.
• Adhere to data entry protocols and quality control checklists.
• Assist in pre- and post-award grants management tasks, including tracking annual reports, entering and validating grantee metrics data, handling correspondence, managing web content and surveys/forms, collecting information, overseeing SharePoint sites, conducting analysis and reports, maintaining help desk inquiry logs, screening applications, preparing funding slates, drafting decision letters, writing project abstracts, administering G5/GrantSolutions/HSES, and executing closeout functions.
• Carry out additional duties as assigned.
• A minimum of an Associate’s degree in Information Management or a related field is required; a Bachelor’s degree is preferred.
• At least 2 years of relevant professional experience directly related to the task activities.
• Strong attention to detail and accuracy.
• Proficient in Microsoft Office Suite (Excel), Smartsheet, and other data platforms.
• Experience with database systems and data entry.
• Excellent organizational skills.
• Capability to follow established procedures.
• Must be able to pass background checks as required for access to federal facilities and systems; this position necessitates Public Trust clearance.
• Ability to work Monday through Friday, 40 to 60 hours per week, including outside of typical workdays/hours when necessary.
• Capability to sit for extended periods, with occasional walking and standing.
• Virtual/remote work environment.
• Overtime may be required during peak times.
• 5–10% local and regional travel with overnight stays as needed.
