This is a fully remote position, open to applicants in Philippines.
• Input, update, and maintain extensive project data within a tailored Airtable-based ERP system.
• Accurately and consistently transfer structured data from Excel or Google Sheets into Airtable grids.
• Enter detailed product and project information, including item descriptions, quantities, dimensions, finishes, specifications, pricing, costing, and other pertinent data.
• Upload and manage related product images, finish references, specifications, and additional supporting files within the database.
• Ensure all data fields are complete, consistent, and correctly formatted prior to submission or system updates.
• Provide basic data entry assistance in Xero, encompassing invoice information, purchase order details, and other finance-related data.
• Process ongoing project updates, which include adding items, removing items, adjusting quantities, updating specifications, and accommodating client-requested changes.
• Adhere to structured workflows for managing approved changes before updating internal systems.
• Carefully review source files and flag any missing, inconsistent, or unclear information before proceeding.
• Maintain a high level of accuracy to avoid downstream issues related to pricing, costing, invoicing, procurement, and project management.
• Collaborate with the client's finance and operations teams to clarify details and ensure data alignment.
• Assist in data verification and validation processes to minimize errors and enhance system accuracy.
• Prior experience in data entry, data processing, database management, administrative support, or a comparable role.
• Exceptional attention to detail and a commitment to high accuracy when managing numerical and text-based information.
• Proficient in Microsoft Excel or Google Sheets.
• Experience working with large datasets featuring multiple fields, attributes, and supporting documents.
• Capable of following structured processes while adapting to changing workflows.
• Strong organizational and time management abilities.
• Comfortable managing repetitive tasks while maintaining focus and consistency.
• Able to meticulously review information and identify potential errors, gaps, or inconsistencies.
• Good communication skills and a willingness to seek clarification when instructions or source data are ambiguous.
• Nice to Have: Experience with Airtable, ERP systems, CRM systems, project databases, procurement data, product data, or Xero is a plus, but not mandatory.
• Understanding of how data influences downstream processes such as pricing, inventory, and invoicing.
• Holidays: Recognized China holidays, with some flexibility for significant Philippine holidays as required.
