This is a fully remote position, open to applicants in Philippines.
• Act as the main point of contact for customers, delivering timely updates and outstanding service throughout the order process.
• Handle incoming and outgoing phone calls with customers, provide assistance with inquiries, and follow up on sample requests and initial orders.
• Offer precise and up-to-date information regarding services, pricing, inventory, and new materials.
• Maintain and refresh customer account details, forecasts, and opportunities using CRM software (Salesforce).
• Collaborate with the Quality Assurance team to resolve customer complaints and accurately record incidents.
• Enter sales orders into Microsoft Dynamics 365 Business Central daily from email and drop ship portals.
• Generate shipping labels, release picks when inventory is available, and update drop ship portals with shipping and invoicing information.
• Invoice shipped orders on a daily basis and send Certificates of Analysis (COAs) as necessary.
• Monitor aging orders, proactively communicate any issues, and escalate concerns internally.
• Create and manage production schedules utilizing the MPS module in Business Central to ensure timely fulfillment of sales orders.
• Coordinate with the purchasing team to optimize production and inventory availability.
• Post production orders, perform data entry, and maintain dashboards that track daily production metrics (e.g., total lbs produced).
• Arrange trucking, create Bills of Lading (BOL), and prepare all required shipping documentation.
• Collaborate closely with Sales, Purchasing, and Quality Assurance teams to ensure smooth operations and high customer satisfaction.
• Adhere to all company safety policies and procedures.
• Bachelor's degree in Marketing, Communications, Business Administration, or a related field.
• 1 - 2 years of experience in customer service and order management, preferably within a manufacturing or distribution setting.
• Excellent verbal, written, and English communication skills.
• Availability to work overnight/graveyard shifts in Philippine time or during US operating hours.
• Familiarity with Microsoft Dynamics 365 Business Central and Salesforce CRM.
• Proficiency in Microsoft Office Suite with a quick aptitude for learning new systems.
• Understanding of production scheduling and logistics is an advantage.
• Strong organizational skills with the capability to manage multiple tasks and deadlines effectively.
