📋 Description

• Oversee assigned projects and initiatives from inception to completion, ensuring accurate timelines, visibility of status, and appropriate escalation of risks or delays.

• Promote communication among stakeholders to facilitate timely execution.

• Assist in post-project documentation and the capture of essential insights.

• Aid in the creation and upkeep of project plans, schedules, and relevant materials.

• Prepare and sustain project documentation, updates, meeting agendas, and standardized templates to guarantee organized records and consistent documentation practices.

• Manage project management and collaboration tools (e.g., Monday.com, Microsoft 365).

• Support regular operational rhythms, including team meetings and quarterly planning sessions.

• Identify workflow bottlenecks and opportunities for improvement during project execution.

• Assist in coordinating freelance and external vendors throughout the engagement lifecycle.

• Organize scheduling and logistical support for global meetings and working sessions.

• Maintain centralized operational documentation, templates, and process resources within shared team knowledge repositories.


⛳️ Requirements

• Bachelor’s degree in project management, marketing, communications, operations, or a related field is preferred, or equivalent professional experience.

• 2–4 years of experience in project coordination, creative operations, marketing, or similar roles.

• Basic understanding of creative, marketing, and production workflows.

• Excellent organizational skills with the capacity to manage multiple concurrent priorities.

• Experience in supporting operational or administrative processes within team settings, collaborating with senior stakeholders.

• Proficient in Microsoft 365 applications and familiar with project management platforms like Monday.com or similar tools.

• Strong written and verbal communication abilities, with a service-oriented approach and the capability to communicate clearly and respectfully across diverse cultures.

• Proven attention to detail and exceptional follow-through skills.

• Comfortable working in a fast-paced, global environment with shifting priorities.

• Advanced proficiency in written and spoken English.
