Conveyancing Administrator, AU Experience Required

This is a fully remote position, open to applicants in Australia.

📋 Description

• Provide daily administrative support to a Conveyancing Paralegal managing a high-volume residential conveyancing portfolio.

• Assist in the comprehensive administration of conveyancing files, ensuring precision, compliance, and timely progression of cases.

• Professionally communicate with clients, real estate agents, brokers, and internal stakeholders through phone, email, and SMS.

• Maintain precise client records and handle confidential information in line with privacy and compliance requirements.

• Conduct client verification and gather essential property and transaction information with a high level of accuracy.

• Prepare, update, and organize conveyancing documentation and electronic files throughout the duration of transactions.

• Support settlement activities, including assistance with PEXA processes and related administrative tasks.

• Provide exceptional customer service while achieving key performance indicators and contributing to a collaborative team atmosphere.


⛳️ Requirements

• A minimum of 2 years of experience in Queensland conveyancing.

• At least 2 years of experience in a customer-facing role, offering written and telephone support to clients from Australia, New Zealand, or the UK.

• Proficiency in Actionstep, PEXA, and M365 applications.

• A proven history of delivering excellent customer service and establishing trusted client relationships.

• Outstanding written and verbal communication skills, with the capability to engage confidently and professionally with clients, colleagues, and stakeholders.

• Strong critical thinking and problem-solving abilities, with the capacity to identify issues, foresee challenges, and implement practical solutions.

• A proactive attitude, consistently taking initiative and seizing opportunities to enhance outcomes without needing direction.

• The ability to anticipate the needs of clients and team members, ensuring a smooth and supportive experience.

• Excellent organizational and time management skills, capable of managing multiple priorities while maintaining accuracy and adapting to evolving business needs.

• Exceptional attention to detail and a dedication to producing high-quality work.

• The ability to work independently while also positively contributing to a collaborative, high-performing team.

• Strong resilience, perseverance, and a commitment to achieving results.
