• Import manual subcontractor payment applications into Sage.
• Request, gather, and monitor lien waivers and insurance updates.
• Follow up on absent compliance documents via email and assist the compliance team as necessary.
• Record and keep track of insurance expiration dates; ensure timely follow-ups on renewals.
• Review and authorize subcontractor prequalification insurance certificates.
• Confirm and document organizational changes (such as bank accounts, addresses, and contact information) according to internal procedures.
• Assist with subcontract and insurance audits, including document verification, completeness checks, and status tracking.
• Record Procore/Textura payments in Sage following internal workflows.
• Track and maintain logs/status of pre-liens.
• File, monitor, and renew local business licenses across various states.
• Track and report on metrics, including volume, cycle times, aging, and bottlenecks.
• 2–5 years of experience in construction compliance, accounts payable, subcontract administration, or document control is preferred.
• A degree is not mandatory if the relevant experience criteria are satisfied.
• Strong knowledge of subcontracts, lien waivers, and insurance requirements associated with payments.
• Highly organized, detail-oriented, and adept at managing a high volume of documents and follow-ups.
• Excellent communication skills with the ability to work independently in a remote setting.
• Experience with Textura, Procore, and Oracle Fusion is advantageous.
• Proficient in Excel and open to learning new tools.
• Effective communicator with strong skills in cross-functional collaboration.
• A problem-solver capable of following processes and exercising sound judgment.
