This is a fully remote position, open to applicants in United States.
• Manage product compliance documentation for all ThermalWorks products produced for the North American and European markets, ensuring that records accurately represent current product configurations and relevant regulatory standards.
• Facilitate third-party certification processes with relevant certification authorities and notified bodies, including preparation for submissions, field labeling corrections, and correspondence for authorization.
• Assist in product safety and conformity assessment procedures across various jurisdictions, including the creation of declarations of conformity and associated regulatory paperwork.
• Monitor compliance related to pressure equipment, environmental substances, and hazardous-area requirements for product lines and components as relevant to destination markets.
• Aid in the preparation and submission of regulatory ratings documentation, encompassing electrical, mechanical, and safety ratings necessary for product listing and labeling.
• Act as the compliance liaison within ThermalWorks' Engineering Change Request (ECR) and Engineering Change Notice (ECN) processes, ensuring every change with regulatory implications is thoroughly reviewed, documented, and directed to the appropriate certification authority when necessary.
• Monitor variation notices and related compliance documents required for modifications to certified product configurations, including component swaps, supplier changes, and design alterations.
• Analyze Bills of Materials (BOMs) and engineering designs to pinpoint components needing compliance evaluation prior to release.
• Collaborate with Engineering and Quality teams to guarantee that technical specifications, cut sheets, and regulatory ratings are included with engineering changes at the time of submission rather than retrieved later.
• Assist in resolving gaps in compliance documentation, including scenarios where a component is in production but not included in the current certification records.
• Maintain compliance documentation within the company's product lifecycle management, asset management, and document management systems, ensuring version control, adherence to retention policies, and accessibility for internal audits and regulatory inquiries.
• Support the transition of compliance records into the company's evolving enterprise systems landscape, facilitating integration between product lifecycle management, service management, and enterprise resource planning platforms.
• Prepare and uphold product nameplate and labeling documentation, ensuring all units shipped to customers feature accurate, current, and regulator-compliant identification.
• Aid in asset tracking and traceability integration, confirming that asset-level data flows accurately into the company's quality and compliance management systems.
• Maintain the manufacturing bulletin library and ensure that withdrawn, superseded, or revised bulletins are properly archived and communicated to manufacturing partners.
• Serve as a documentation liaison for certification authorities and notified bodies, assisting the Compliance Officer in scheduling inspections, providing technical packages, and routing authorization letters.
• Coordinate the flow of compliance information with contract manufacturers in various regions, ensuring alignment on product configurations, implementation of changes, and documentation.
• Support quality and compliance reviews at manufacturing sites, including periodic self-audits and third-party assessments conducted by certification authorities.
• Track and document compliance-related communications with key component suppliers, especially where supplier-side changes (capacity limitations, component substitutions, or supply-driven events) have compliance implications.
• Travel up to 20% of the time to support compliance activities at ThermalWorks sites, manufacturing partner locations, customer commissioning events, and certification authority meetings.
• Participate in the daily Operations review process and contribute to the company's open projects tracker for compliance-related items.
• Support cross-functional initiatives that align lifecycle, quality, and compliance decisions across engineering, operations, and service functions.
• Provide a compliance perspective during proposal evaluations, customer technical reviews, and submittal preparation, particularly for projects in jurisdictions with significant regulatory complexities.
• Bachelor's degree in Engineering (Electrical, Mechanical, or Industrial preferred), Regulatory Affairs, Quality Management, or a closely related technical discipline.
• Two to five years of professional experience in product compliance, regulatory affairs, or quality engineering within a manufacturing context. Experience in HVAC, data center cooling, industrial controls, or pressure equipment is highly desirable.
• Proven working knowledge of UL 508A compliance for industrial control panels and the broader UL standards framework for industrial control equipment.
• Demonstrated understanding of ETL listing processes and third-party certification workflows, including the roles of Intertek and equivalent notified bodies.
• Familiarity with CE marking requirements per EN 60335-1 and EN 60335-2-40, including the significance of harmonized standards and the Declaration of Conformity process.
• Knowledge of the Pressure Equipment Directive 2014/68/EU (PED) and the associated ASME pressure vessel framework, particularly regarding evaporator and condenser components.
• Understanding of RoHS and REACH compliance regulations for products intended for the European Union, including component-level substance disclosure mandates.
• Familiarity with Short Circuit Current Rating (SCCR) requirements and the preparation of submissions for industrial control equipment.
• Proficient in Arena PLM or a comparable product lifecycle management system, including BOM management, ECR/ECN workflows, and document version control.
• Working knowledge of ServiceNow for asset, incident, and change management, or a demonstrated ability to quickly learn enterprise workflow systems.
• Proficient in Microsoft Office, with strong Excel skills for tracking extensive documentation matrices and Word for preparing technical documents.
• Excellent written communication abilities, with the capability to convert complex regulatory requirements into clear, actionable documentation for engineering and operations teams.
• Strong analytical skills and attention to detail. The compliance role necessitates accuracy, as even minor documentation errors can have significant repercussions, requiring comfort with structured information at scale.
• Ability to maintain poise under pressure when compliance obligations conflict with schedule, budget, or stakeholder interests.
• Capacity to work independently in a hybrid remote setting, managing competing priorities and meeting certification-driven deadlines without daily oversight.
