This is a fully remote position, open to applicants in United States.
• Take ownership of the yearly Human Resources compliance calendar, ensuring that all federal, state, and local obligations are fulfilled punctually.
• Prepare, coordinate, verify, and submit regulatory reports related to employment and benefits, including EEO-1, California Pay Data Reporting, ACA reporting, Form 5500, RxDC, VETS-4212, and state-mandated employment reports.
• Collaborate with Payroll, Benefits, Finance, Legal, external vendors, and business leaders to gather and validate information for reporting.
• Maintain documentation for regulatory filings and ensure audit readiness.
• Stay updated on changes in federal, state, and local employment laws, evaluating their impact on HR policies and practices.
• Draft, revise, maintain, and publish HR policies, handbook content, and addendums specific to states.
• Research inquiries related to employment law and provide guidance on compliance.
• Administer mandatory compliance training and monitor the completion, certifications, and documentation.
• Perform audits of HR records, policy acknowledgments, training documentation, I-9 records, personnel files, and employment documents.
• Manage I-9 compliance audits and provide guidance on corrective actions while facilitating E-Verify and onboarding compliance.
• Identify compliance gaps, propose corrective measures, and assist with government audits and agency requests.
• Create tools for compliance tracking, reports, dashboards, reference materials, job aids, and standard operating procedures.
• Identify opportunities for process enhancements through automation, technology, and AI solutions.
• Contribute to special HR compliance initiatives and ensure timely and budget-conscious completion of assigned tasks.
• In-depth knowledge of federal, state, and local employment laws, HR compliance requirements, and regulatory reporting duties.
• Comprehensive understanding of multi-state employment practices, handbook management, and policy creation.
• Proven experience in preparing and coordinating employment-related regulatory reports, including EEO-1, ACA, California Pay Data Reporting, Form 5500, RxDC, or similar initiatives.
• Experience in monitoring legislative changes and implementing necessary updates to policies and operations.
• Background in researching employment laws, interpreting regulatory guidance, and applying compliance requirements effectively.
• Experience in drafting, revising, and maintaining HR policies, handbook content, and state-specific policy addendums.
• Proven track record in managing compliance calendars, regulatory deadlines, and recurring reporting obligations.
• Experience conducting compliance audits, identifying risks, and proposing corrective action strategies.
• Ability to develop reports, compliance dashboards, and executive summaries.
• Proficient in interpreting complex regulations and conveying requirements in a practical, business-oriented manner.
• Capable of handling confidential and sensitive information with sound judgment.
• Knowledgeable in HR programs, employee lifecycle processes, benefits administration, payroll practices, and HR technology.
• Proficiency in Microsoft Office Suite, HRIS platforms, and reporting tools.
• Ability to utilize AI and emerging technologies for compliance monitoring, reporting, documentation, and enhancing process efficiency.
• Skilled in managing multiple priorities with high attention to detail and accuracy.
• Ability to work both independently and collaboratively.
• Effective communicator with employees, managers, executives, vendors, and government entities.
• Bachelor’s degree in human resources, business, legal studies, or a related field, or a recognized HR certification such as PHR, SPHR, SHRM-CP, or SHRM-SCP.
• At least five years of progressively responsible experience in Human Resources.
• Minimum of three years of experience in HR compliance, employment law administration, regulatory reporting, or HR operations within a multi-state context.
• Willingness to travel for business, up to 10%, potentially across any or all 50 U.S. states.
