• About the Role: We are in search of a meticulous **Compliance Filings Specialist** to facilitate the execution of federal and state compliance filings for motor carriers. This position entails completing and overseeing all filings provided by PrePass, ensuring precision, regulatory adherence, and prompt submission. The Compliance Filings Specialist collaborates closely with internal teams and clients to gather necessary information, submit filings, and maintain comprehensive compliance records.

• This role is well-suited for an individual with practical experience in transportation compliance filings who thrives in a structured, deadline-oriented setting.

• Essential Responsibilities: Compliance Filings Execution

• - Carry out all compliance filings supported by PrePass, which include but are not limited to:

• - DOT number applications and updates

• - Motor Carrier authority applications and updates

• - FMCSA application changes and corrections

• - BOC-3 filings

• - Unified Carrier Registration (UCR) filings and renewals

• - Texas Department of Motor Vehicles (TxDMV) motor carrier registration (TX DOT)

• - New York Highway Use Tax (NY HUT)

• - Kentucky Weight Distance Tax (KYU)

• - New Mexico Weight Distance Tax (NM WDT)

• - Oregon Weight Distance Tax (OR WDT)

• - Heavy Vehicle Use Tax (HVUT / Form 2290)

• - Biennial updates

• - California Motor Carrier Permit (CA MCP)

• - International Fuel Tax Agreement (IFTA) reporting and renewals

• - International Registration Plan (IRP) registrations and renewals

• - Ensure filings are accurately submitted, complete, and compliant with relevant federal and state regulations

• - Oversee both initial filings and recurring renewals across various jurisdictions

• Documentation & Data Accuracy

• - Gather, review, and validate the carrier information required for filings, including business details, EINs, VINs, and supporting documents

• - Input and maintain precise filing data within internal systems and document repositories

• - Upload confirmations, receipts, and compliance documents while ensuring appropriate tracking and expiration details

• Customer & Internal Coordination

• - Clearly communicate with customers regarding filing requirements, missing information, and the status of completion

• - Address filing-related inquiries and offer guidance on next steps or corrections as necessary

• - Collaborate with internal teams to synchronize filings with onboarding, renewals, and service timelines

• Monitoring & Issue Resolution

• - Monitor filing progress and ensure follow-through on submissions until acceptance is confirmed

• - Identify and rectify rejected filings or required corrections promptly

• - Stay informed about filing deadlines to avert lapses in carrier compliance

• Qualifications / Requirements

• - A minimum of 2 years of experience managing various federal and state motor carrier compliance filings from initiation to completion, including both initial filings and renewals

• - Direct experience with Form 2290, UCR, BOC-3, and biennial updates

• - Keen attention to detail and the ability to handle multiple filings concurrently

• - Familiarity with transportation compliance requirements and filing processes

• - Proficiency in digital systems, document management tools, and data entry

• - Strong written and verbal communication skills

• - Self-driven with a proactive approach to ongoing improvement

• - Capable of managing multiple concurrent filings with overlapping deadlines across jurisdictions

• Bonus Points For:

• - Experience executing a diverse range of state weight and distance tax filings

• - Previous experience in trucking, logistics, or carrier support environments
