Commercial Operations Coordinator

This is a fully remote position, open to applicants in Germany.

📋 Description

• Take ownership of the commercial coordination aspect, allowing leadership and senior commercial team members to concentrate on opportunity strategy, client engagement, and deal advancement, with the assurance that the operational framework is functioning seamlessly.

• Manage the sales pipeline within **HubSpot**, ensuring high standards of data hygiene and quality.

• Monitor opportunities, follow-ups, and next steps for all active deals.

• Assist in the qualification, disqualification, and triaging of the pipeline.

• Provide leadership with clear and reliable visibility on the pipeline at any given moment.

• Organize meetings, follow-ups, and internal actions related to active opportunities.

• Maintain momentum in commercial discussions — prevent deals from stagnating due to process gaps.

• Aid in event follow-ups, lead tracking, and smooth handovers of opportunities.

• Collaborate with leadership and cross-functional teams on priority deals.

• Assist in preparing proposals, client presentations, and commercial documentation.

• Help in structuring decks, briefing notes, and meeting preparations for active opportunities.

• Keep core sales materials (one-pagers, use cases, proposal components) updated.

• Ensure that client-facing materials are current, organized, and easily accessible.

• Coordinate with external lead-generation partners.

• Track inbound leads and sourced opportunities throughout the sales funnel.

• Support follow-ups and handovers across partner channels.

• Monitor channel activity and contribute to basic effectiveness reporting.

• Prepare weekly overviews of pipeline and sales status.

• Assist in commercial reviews and updates for leadership.

• Help refine internal sales workflows and maintain process discipline.

• Contribute to creating a more structured and predictable commercial operation.


⛳️ Requirements

• **2–5 years of experience** in commercial operations, sales support, business development assistance, or commercial coordination.

• Strong working knowledge of **CRM systems — HubSpot preferred**.

• Proficiency with **Apple Keynote** and other tools for creating polished client-facing materials.

• Comfortable using project and coordination tools such as **Monday.com**.

• Familiarity with **Apollo** or similar lead-generation/contact management tools is advantageous.

• Practical and confident use of **GenAI tools** to enhance drafting, structuring, and summarizing tasks.

• Exceptional organizational skills coupled with a strong follow-up discipline.

• High attention to detail and a natural fit for process-oriented environments.

• Experience in supporting proposals, decks, and other client-facing commercial documents.

• A structured, proactive, and highly dependable working style.

• Excellent written and verbal communication skills in **English and German**.
