This is a fully remote position, open to applicants in United States.
• Oversee the collections process for one of the four business units at Apex.
• Track assigned accounts receivable balances and pinpoint overdue invoices that need follow-up according to client payment terms.
• Reach out to clients concerning outstanding balances, payment statuses, remittance details, and any questions regarding invoices.
• Work in collaboration with project managers, project accountants, and other internal teams to address collection issues.
• Document and assess collection activities, client replies, payment commitments, and follow-up steps in the designated tracking tool.
• Identify, monitor, and manage payment portal access for relevant client accounts within the business unit.
• Analyze aging reports and prioritize collection efforts based on balance, age, risk, and business requirements.
• Generate collection updates, reports, and status summaries for management's review.
• Assist in recurring collection meetings by providing account updates, suggested next steps, and follow-up statuses.
• Promptly escalate high-risk accounts, overdue balances, or unresolved disputes to management.
• Foster professional relationships with clients while ensuring timely payments and compliance with agreed payment terms.
• Aid in the preparation of demand letters, submissions to collection agencies, and other escalation procedures as needed.
• Contribute to process enhancements related to collections tracking, reporting, and client interactions.
• An associate’s or bachelor’s degree in accounting, finance, business administration, or a related discipline is preferred.
• A minimum of three years of experience in accounts receivable, collections, and customer service.
• Excellent communication skills and the ability to interact professionally with clients and internal teams.
• High attention to detail when updating and maintaining customer account records.
• Capability to resolve complex payment issues effectively.
• Skill in managing multiple priorities within deadlines.
• Proficient in Microsoft Excel, Outlook, and accounting or ERP systems; experience with Deltek Vantagepoint is a plus.
