Client Onboarding Manager – Mid-Market Retirement SEP

This is a fully remote position, open to applicants in Iowa, +2 more states.

📋 Description

• Supervise the onboarding process for new plan sponsor retirement plans and the transition of existing plans from different providers.

• Deliver personalized service and communication throughout the installation phase to guarantee that all deliverables are achieved.

• Cultivate and manage relationships with plan sponsors, financial advisors, third-party administrators, and relevant stakeholders.

• Oversee the transition and installation of defined contribution retirement plans during startup or conversion for both single employer and multiple employer plans.

• Assess deliverable timelines and schedules to develop comprehensive project plans that cover all facets of the installation.

• Evaluate timelines for the liquidation of investments and the acquisition of plan data from previous providers, considering SOX blackout and plan effective dates.

• Identify the best educational options and delivery methods for plan sponsors and participants, coordinating with trainers for implementation.

• Manage the transition of funds out of blackout to the service team within the established timeline.

• Issue extension notices when necessary.

• Assign and oversee record-keeping setup, asset transfers, allocation, and initial deposits, including the education, integration, and mapping of payroll files/methods.

• Ensure that plan setup consultants produce documents related to plans and contracts, including employee disclosure materials needed to establish a new retirement plan.

• Create and guarantee that regulatory notices are precise and distributed to participants punctually.

• Facilitate consultative discussions for plan reviews and assist plan sponsors with compliance inquiries related to plan design.

• Act as the primary contact for plan sponsors during the installation process to ensure that all elements of the transition meet client expectations.

• Analyze data, conversion, payroll, and census files received from clients to evaluate the accuracy and consistency of the information.

• Inform the plan sponsor and internal/external contacts about any issues that could affect the success of the transition.

• Strategically plan and execute internal and external communications with plan sponsors, financial advisors, and third-party administrators based on client preferences and culture.

• Maintain relationships with internal partners, sales executives, plan sponsor contacts, financial advisors, and third parties throughout the installation process to ensure deliverables are achieved.

• Verify the accuracy and delivery of enrollment materials to participants once the plans are established.


⛳️ Requirements

• Bachelor's degree in a business-related field or equivalent experience.

• Minimum of two years of experience in the financial services industry, including client management, installations/conversions, or contract compliance.

• Strong understanding of retirement plan regulations.

• Client-focused approach to deliver outstanding customer service.

• Exceptional written and verbal communication skills along with relationship-building capabilities.

• Strong time management and organizational skills to manage multiple installations at various stages of the conversion project lifecycle.

• Proficient problem-solving abilities and attention to detail.

• Capability to quickly learn and navigate various systems and applications.
